Job Title: Executive AssistantLocation: KolkataReporting To: President - CSR and Corporate CommunicationJob Summary:The Executive Assistant (EA) to the President will be responsible for providing comprehensive back-office support to ensure the smooth execution of CSR initiatives and corporate communication strategies. This role involves administrative excellence, data management, and coordination to drive organizational efficiency and streamline operations.Key Responsibilities:1. Administrative and Back-Office Support:Manage and organize the President's daily schedule, ensuring efficient time management.Handle extensive documentation, including drafting letters, reports, and presentations.Maintain and update records, files, and databases related to CSR and communication initiatives.Oversee travel arrangements, logistics, and expense management.Coordinate with various internal departments to ensure timely submission of reports and updates.2. Corporate Communication Coordination:Organize and manage communication archives, including press releases, newsletters, and marketing collaterals.Assist in coordinating with external agencies for design, media, and PR activities.Maintain a repository of communication templates and presentations for the department.Support internal communication activities, including employee engagement programs and newsletters.3. Data Management and Analysis:Conduct data collection and analysis to track the progress of CSR initiatives and communication strategies.Generate periodic reports, graphs, and presentations for management review.Ensure accuracy and consistency in data reporting and compliance documentation.4. Liaison and Coordination:Coordinate with NGOs, vendors, and external partners to track project milestones and deliverables.Follow up with stakeholders on pending tasks and provide timely updates to the President.Qualifications and Skills:Education: Bachelor’s or Master’s degree in Business Administration, Management, or a related field.Experience: fresher -5 years of experience in a back-office or administrative support role, preferably in CSR or Corporate Communication.Skills:Strong organizational and multitasking abilities.Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint).Excellent written and verbal communication skills.Attention to detail and ability to manage large volumes of data.Attributes:Process-oriented with a focus on accuracy and efficiency.Self-motivated and able to work independently.Ability to prioritize tasks and meet deadlines.
