Job Description

Responsibility Areas Document Control: Maintain checklist of periodic reporting due from vessel. Verify from ships file for overdue reports - query vessels for abnormal delays. Ship:Despatch and follow up of documents till received on board, class and statutory certificates, survey status reports, Navigation charts & publications, notices to Mariners and tracings , flag state / M.S notices, IMO publications, Company and radio stationary, Radio publications, test certificates, service and inspection reports and any other documents relating to vessel's specific requirement. Office-Maintain files for indents/quotation/invoices as per department policy. Codify incoming mail for filing. Make routine check of technical files that documents are filed date wise and old papers removed to Warehouse or destroyed as per company policy. Technical Operating Costs: Scrutinize all invoices; Classify per accounting codes. Input all invoices data in computer. Present invoices to Superintendent / CTO for approval. All pending bills to check periodically and put up to Superintendent with reasons for delay, if any.Surveys: Check from the latest class listing and surveys status forms received from ship - for survey due in next one month/next three months - advice vessel and arrange class/statutory survey IN CONSULTATION WITH TECHNICAL SUPTDs All dates for condition of class to be closely monitored for re-survey/repairs when due in consultation with the superintendent when due IN CONSULTATION WITH TECHNICAL SUPTDs. Liaising with Class IN CONSULTATION WITH TECHNICAL SUPTDs for vessel certification survey & documentation.PMS Updations: Check all vessels PMS equipment and jobs from the office module. Add or edit equipment and jobs as per vessel’s actual equipment list according to OEM instruction. Update vessel on regular basis to update all jobs and report respected superintendents. Improve PMS Updations process by inserting detailed report/photographic report. Mapping of equipment and jobs for the newly takeover vessels.Manuals / Drawings / Instruction books: For each vessel, maintain up-to-date record and files for quick retrieval and reference.Repairs: Check repair indents and follow up in consultation with Superintendent. Arrange routine repairs /requisition for service engineer/technician as per vessel requests and pass major repair requisitions for Superintendent’s approval. Keep record of all accrued repair cost in system, enter budgeted / actual costs, in monthly record sheets.Routine Communication: Handle letters /telexes/faxes to and from vessels and other concerned parties regarding spares/ stores/ repairs/ surveys/registration. Send urgent messages if required after offices hours and on weekends and holidays.Reports Submission: Maintain and submit technical reports related to incidents, technical bulletins. Maintain detailed month end reports like lube oil analysis, ANF Swachh Bharat Portal Assist in preparing, photos , presentations, reports as and when required Assist for any other job scope as and when required on a daily basis.Min 2-5 yrs of experience. Educational Background- Mech Engg / Diploma Mechanical Exposure in Shipping Industry
