Job Description We’re looking for a proactive and detail-orientated Marketing Admin to join our international marketing team. This role is a full-time 12 month rolling contract role, based in our Gurugram office. The ideal candidate will play a key role in supporting the team with event logistics, vendor management, and administrative tasks that are critical to the success of our marketing initiatives.Essential Duties & Responsibilities: Event Logistics Support: Assist with planning and execution of marketing events; Handle vendor onboarding processes, ensuring all documentation and compliance are in place; Manage event-related invoicing and follow up with vendors and internal stakeholders; Liaise with the finance team to ensure timely payment and budget tracking. Vendor Management: Own the end-to-end procurement process for events and other marketing expenditures; Develop and maintain strong relationships with vendors to ensure high-quality service delivery; Track and manage vendor contracts and agreements; Monitor performance and ensure alignment with agreed terms. Administrative Support: Maintain accurate records of marketing expenses and update budget trackers regularly; Coordinate with global and local teams to ensure alignment on marketing plans and timelines; Support the creation of reports, presentations, and updates for internal stakeholders. Marketing Operations Assistance: Collaborate with the marketing team on campaign coordination and delivery; Handle internal and external communication as needed for marketing initiatives; Provide administrative support for ad hoc projects, ensuring timely and efficient delivery. Process Improvement: Identify opportunities to streamline administrative processes and enhance efficiency; Implement best practices in procurement and vendor management to optimize outcomes.Personal Attributes: Ability to build strong working relationships, especially with marketing teams in EMEA and APAC and the global finance team; Comfortable multi-tasking, for a variety of stakeholders, in a fast-paced environment; Proactive, flexible, quick to adjust, focused on execution and results; Detail oriented, analytical with strong planning skills; Curiosity, with an eagerness to learn more about the media industry.Skills: Fluency in English, (written and spoken); Nice to have: Chinese, Japanese or any other European language (written & spoken); Strong organizational skills with the ability to manage multiple tasks and deadlines; Excellent communication skills, both written and verbal; Digital savviness and proficiency in MS Office Suite (Word, Excel, PowerPoint); Knowledge of Salesforce (or similar marketing platform); Knowledge of finance processes, including invoicing and budget tracking, and experience with procurement systems is an advantage.Qualifications: A bachelor’s degree (or equivalent) in marketing, communications, business or related fields is desirable; A master’s degree in marketing or related fields is an advantage.Knowledge & Experience: Experience: 0 to 3 years. Basic knowledge of B2B marketing is preferred; Previous experience in a similar administrative or support role within a marketing function in technology, SaaS or media company would be a great advantage.
