At our core, we are about digitizing traditional methods of procurement so construction companies can save money on the materials they buy, save 1.5 days a week of wasted time and we give them credit to buy the materials.Position Overview:The Executive Assistant will provide crucial support to our Founder, ensuring efficient management of their schedule and enabling them to focus on strategic objectives. This role encompasses both traditional EA duties and the spearheading of key projects, acting as the linchpin for communications and operations within the Founder's office.ResponsibilitiesAdministrative Support:Manage the Founder’s calendar, email, and day-to-day activities to ensure optimal organization and preparation. Handle sensitive and complex administrative tasks with discretion and confidentiality. Meeting and Schedule Management:Organize and prioritize daily tasks and responsibilities, including scheduling meetings, making travel arrangements, and preparing meeting materials. Ensure clear communication of meeting agendas and objectives, and follow up on action items. Project Management:Take ownership of specific projects, from initiation through to completion, ensuring deadlines are met and objectives are delivered on. Collaborate with internal teams and external stakeholders to drive projects forward. Communication:Serve as the primary point of contact for the Founder, handling inquiries and information flow efficiently. Maintain professionalism in all forms of communication and represent the Founder effectively to internal and external parties. Documentation and Reporting:Prepare comprehensive reports and presentations, create and manage documentation, and ensure all corporate documentation is filed and maintained appropriately. Expense and Travel Management:Process expenses and manage logistics for travel, ensuring arrangements are within company policies and budget guidelines. Research and Competitive Analysis:Conduct thorough research and competitive analysis to identify business opportunities and potential clients. Draft and send outreach emails to these prospects to enhance business development. Go-to-Market Support:Assist in developing sales target lists and support go-to-market strategies. Manageposts and other social media interactions to enhance company visibility and engagement. Performance Measurement:Assist in setting and tracking Objectives and Key Results (OKRs) to measure performance and progress towards strategic goals. Client Relationship Management:Write proposals and update the sales CRM with meeting notes and follow-up actions. Manage relationships with external contractors and service providers.Requirements & Skills Experience:Minimum of 4 years in a chief of staff or executive/personal assistant role, with demonstrable experience in project management and supporting senior-level executives. Education:Bachelor’s degree in Business Administration, Management, or a related field is preferred. Skills: Exceptional organizational and time management skills. Excellent verbal and written communication skills. Ability to handle confidential information with integrity. Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and customers. Proficiency in Google Sheets and Asana.
