About the Job Opportunity:The Senior Manager - Administration will be responsible for overseeing the administration and operational functions at Inspire Institute of Sport. The role will involve strategic management of day-to-day activities across various departments and ensuring smooth administrative processes.Position: Senior Manager – Administration and OperationsDepartment: Administration and OperationsReporting to: COOJob Location: Vijayanagara, KarnatakaWork Type: PermanentNature of Work: OnsiteRoles and Responsibilities:Operations Management:Lead daily administration and operations, ensuring smooth, efficient functioning in alignment with the institute’s objectives.Oversee logistics for competitions, events, and athlete travel, including scheduling, transportation, and accommodations.Develop and implement administration and operational procedures to optimize processes across the institute.Ensure the institute is adequately stocked and equipped at all times.Budget and Resource Management:Track expenses, monitor budgets, and propose cost-saving measures while maintaining quality service delivery.Strategic Planning and Process Improvement:Collaborate with senior leadership to align operations with the long-term vision of the institute.Continuously assess existing processes and propose improvements to enhance efficiency and reduce redundancies.Compliance and Risk Management:Ensure all operational and administrative functions comply with laws, regulations, and industry standards.Identify potential risks proactively and implement solutions to mitigate them.Event Coordination and Stakeholder Management:Collaborate with internal departments to ensure seamless communication and coordination for events and activities.Travel Management:Facilitate and oversee travel arrangements (bus, cab, flight, and hotel bookings) for athletes, staff, and guests.Coordinate with the JSW Travel Desk and manage travel vendors, ensuring accuracy in MIS reports and invoices.Maintain travel-related logs and implement a digital travel system for streamlined operations.Health and Safety:Implement and monitor safety protocols across the institute in conjunction with the Safety TeamConduct safety audits and oversee emergency preparedness plans in conjunction with the Safety Team.Facility and Asset Management:Oversee maintenance and proper functioning of sports facilities and infrastructure.Coordinate with facility management teams for repairs, upgrades, and preventive maintenance. Ensure compliance with safety regulations and high-performance standards.Financial Management:Collaborate with the Finance Team to ensure accurate documentation, compliance, and timely reporting.Create and verify MIS reports to monitor operational and financial performance.Propose cost-saving measures while maintaining operational excellence.FRRO Compliance:Manage compliance with FRRO processes for international athletes and staff.Ensure timely documentation and act as the primary point of contact for FRRO-related matters.Residential Life Management:Oversee the management of hostels and staff accommodations, ensuring smooth operations.Manage allocations, safety standards, and maintenance of living facilities.Inventory Control:Maintain inventory for the institute, manage stores operations, and conduct regular audits.Ensure proper documentation and accountability for all inventory.Required Qualifications:Education: Bachelor’s/Master’s degree from a recognized university.Experience: Minimum 10 years in administrative roles, with at least 5 years in leadership positions.Proven expertise in logistics, facility management, travel management, compliance, and strategic planning.Experience in sports, education, or high-performance environments is advantageous.Experience of working with Services, such as Indian Army, Indian Air Force, etc. would be preferredSkills:Strong leadership and team management abilities.Excellent communication, negotiation, and problem-solving skills.Proficiency in administrative, operational, and financial tools.Familiarity with Indian regulatory frameworks, including FRRO processes.Ability to work in a fast-paced, dynamic environment and manage multiple priorities.To Apply: dilip.suthar@
