Responsibilities: 1.Front Office Management: · Greet visitors and provide a professional and welcoming reception experience. · Answer incoming calls, transfer calls to appropriate personnel, and take messages as needed. · Manage the office's general email account and respond to inquiries promptly. · Maintain cleanliness and orderliness of the front office area. 2.Administrative Support: · Assist in scheduling meetings and appointments for executives and staff members. · Coordinate travel arrangements and accommodations for employees, if required. · Handle incoming and outgoing mail, including sorting, distributing, and processing shipments. · Assist in preparing and editing documents, reports, and presentations as requested. · Maintain office supplies inventory and place orders when necessary. 3.Facilities Management: · Oversee office maintenance and repairs, including liaising with building management and external vendors. · Ensure proper functioning of office equipment and arrange for repairs or replacements as needed. · Monitor and manage office security systems and procedures. 4.Record Keeping and Documentation: · Maintain accurate and up-to-date records, including employee contact lists, office expenses, and inventory. · Assist in maintaining digital and physical filing systems, ensuring easy retrieval of documents. 5.Corporate Communication: · Assist in drafting and disseminating internal communications, memos, and announcements. · Coordinate with various departments to ensure effective communication and collaboration within the organization.
