Designation- Tendering Manager (Logistics, Quotation & Customer Support) Key Responsibilities: 1. Order Management & Fulfillment : • Oversee the entire order management process, from order receipt to fulfillment, ensuring accurate and timely deliveries to customers. • Collaborate with sales, procurement, and finance teams to ensure all order details are processed correctly and aligned with customer expectations. • Lead the implementation and optimization of order processing systems (ERP/Microsoft NAV) to streamline operations and reduce turnaround times. • Maintain strong relationships with global suppliers and logistics partners to ensure seamless inventory management and product availability. • Ensure compliance with import/export regulations and manage customs documentation for international shipments. 2. Tendering & Proposal Management: • Lead the preparation, submission, and management of tenders, proposals, and bids for life sciences projects with public and private institutions. • Develop strong cross-functional relationships with internal teams to gather necessary input for competitive and compliant tender responses. • Monitor tender results, provide post-tender analysis, and adjust strategies to improve future tender success rates. • Stay current with industry trends, regulatory updates, and best practices in tender management within the life sciences sector. 3 . Customer Support & Satisfaction : • Serve as the key liaison between customers, sales teams, and logistics, ensuring customer inquiries, orders, and concerns are handled swiftly and professionally. • Manage and resolve escalated customer complaints, ensuring a positive experience through clear communication and effective problem-solving. • Monitor customer satisfaction levels and take proactive steps to enhance service delivery, leveraging customer feedback to improve processes. • Implement and monitor Service Level Agreements (SLAs), ensuring customer expectations are met and exceeded. 4. Logistics & Shipment Management: • Oversee domestic and international shipments, ensuring timely, cost-effective, and compliant delivery of products. • Partner with third-party logistics providers, managing vendor relationships to optimize supply chain efficiency and reliability. • Implement strategies to reduce shipping costs, improve transit times, and minimize disruptions in the supply chain. • Track shipment performance, analyze key metrics (e.g., delivery times, costs), and initiate corrective actions when needed. 5. Compliance & Documentation: • Ensure all order processing, shipment, and tender activities comply with global and local regulatory requirements, including Good Distribution Practice (GDP), import/export laws, and safety standards. • Maintain up-to-date documentation related to orders, tenders, shipments, and compliance reports, ensuring audit readiness at all times. • Lead the implementation of continuous improvement initiatives to enhance operational efficiency and regulatory compliance. 6. Team Leadership & Development: • Manage and mentor a team of logistics coordinators, order processing staff, and customer support personnel, fostering a culture of collaboration and excellence. • Provide ongoing training and development opportunities to enhance team performance and keep up with the latest industry trends. • Set team goals and key performance indicators (KPIs), ensuring high levels of accountability and performance. • Promote a customer-centric mindset within the team, encouraging proactive solutions and innovation in service delivery. Key Requirements: • Education: Bachelor’s degree in supply chain management, business administration, logistics, or a related field. A background in life sciences is preferred. • Experience: 10-12 years of experience in logistics, order management, customer support, and tendering, ideally in the life sciences or pharmaceutical industries, with at least 3-5 years in a leadership role. Skills: • Deep understanding of order management systems (ERP/Microsoft NAV) and logistics processes, including international shipping regulations and compliance standards. • Strong experience in managing tender processes and handling high-stakes proposals for public and private sector clients. • Excellent organizational and project management skills, with the ability to manage multiple priorities in a fast-paced environment. • Outstanding customer service skills with a proactive approach to problem-solving. • Knowledge of life sciences regulations (e.g., GMP, GDP) and import/export compliance.
