Job Description

The Receptionist is the first point of contact for visitors, clients, and employees. The role involves handling front-desk operations, managing calls, and providing administrative support. A Receptionist is expected to maintain a professional and welcoming environment while managing multiple tasks efficiently. Key Responsibilities: Greet and welcome visitors, clients, and employees with a friendly, professional demeanor. Direct visitors to the appropriate department or individual. Manage the sign-in/out process for visitors and issue visitor badges if applicable. Maintain a clean, organized, and welcoming reception area. Answer incoming phone calls and direct them to the appropriate department or individual. Take messages and ensure they are communicated promptly to the relevant person. Handle incoming emails or queries and respond or forward them accordingly. Provide information to clients, staff, or visitors as needed. Schedule meetings and appointments for staff and clients. Assist in organizing and maintaining office documents and files. Help with managing office supplies and ordering supplies when necessary. Perform basic clerical tasks such as photocopying, scanning, and data entry. Receive and sort mail or packages for staff or departments. Coordinate with couriers for outgoing deliveries and shipments. Ensure all visitors are signed in and follow building safety protocols. Provide excellent customer service, responding to inquiries and resolving issues or concerns quickly.
