Company: ONESEA Ship Management Private Limited (Indian arm of ONESEA group)Location: Skyline Icon, Unit No.401, Marol Naka, Andheri (East), Mumbai, 400059, MaharashtraDepartment: Fleet Management Location: IndiaReports to: Fleet Manager Position Description: The Technical Officer provides vessel technical support, coordinates services and repairs, and works closely with purchasers and other team members to ensure company-managed vessels are supplied with all necessary stores and spares. This position assists the vessel managers where possible for effective, safe, and economical management of assigned vessels. This position provides administrative support to the fleet teams under the direction of the Vessel Manager/Marine Manager/Fleet Manager. Assist in providing operation management services to ships under charge to ensure they run in a safe manner as required by One Sea Solutions Pte Ltd, and the running costs for all the vessels are within the budget allocated by the ship owners. Primary Responsibilities: · Understand the Health, Safety, Environmental Protection, and Quality Policy, and the responsibilities under the Environmental Management System (EMS). · Report any environmental noncompliance and/or concern to members of the senior management team (including the highest level of management) either directly or through the open reporting system as per Management System guidelines. · Surveys: Monitor the dates of the survey and arrange the class/statutory survey in consultation with Vessel Manager.· Provide continuity on guarantee claims management for the new build vessels and follow-up; ensure guarantee claim files are kept up to date with all invoices and backups.· Repairs: Arrange repairs / requisition for service engineer / technician as per vessel requests and pass major repair requisitions for Vessel Manager approval. Keep record of all accrued repair costs.· Routine communication: Handle letters / telexes / faxes to and from vessels and other concerned parties regarding repairs / surveys / registration.· Manuals / Drawings / Instruction books: Maintain up-to-date records and files for quick retrieval and reference.· Tracking of Lub oil sample Analysis: Track that Lub oil samples are landed by the vessel as per schedule. Follow up on the analysis report and send the report to the vessel. Keep the Vessel Manager informed if any of these conditions are not met.· Maintain check list of periodic reporting due from vessel. Verify from ship file for overdue report – query vessels for abnormal delays.· Dispatch and follow up of documents relating to vessel’s specific requirement. · Provide support for dry-dock planning, specification compilation, and execution of SPOs. · Compile statistical data of Key Performance Indicators (KPIs), guarantee claims, etc., and assist with department reporting. · Review vessel manager invoices when they are out of the office and bring forward items for immediate attention when necessary. · Coordinate the Fleet team’s calendars; send and accept electronic invitations and reminders, organize external meetings, and prepare for scheduled events, including assisting with catering. · Prepare the Fleet team’s expense reports and reconcile credit card statements. · Maintain and update documents for fleet-wide communication, monthly lube oil inventories, · Attend department meetings and record minutes as required. · Schedule business travel for team members and assist with the preparation of visa applications. · Track team members’ travel, inspection reports, travel invoices, and month-end reports. · Update NS5 (PMS – Planned maintenance system) performance notes for the fleet management team. · Provide periodic coverage of reception, work effectively with other assistants, maintain department contact information, and post department information on the intranet. · Perform other duties as required. Requirements: Two or more years in a similar role in a ship management company or sailing experience in an officer rank Able to work under pressure in a fast-paced environment Proficiency with Microsoft Office suite (including Outlook, Word, PowerPoint and Excel) Must know how to source ship spares and stores for containerships Effective communication skills Sound organizational skills Ability to prioritize and multi-task Attention to detail Additional Desired Qualifications: Previous sailing experience as an engineer is preferred Experience sailing internationally on containerships Job Demands and/or Physical Requirements: Availability via a phone or other mobile device outside of office hours Able to lift packages (e.g. courier, supplies) weighing up to 10 kg Able to work for extended periods at a computer
