The successful candidate is a self-starter and a good communicator who eagerly takes on new challenges and seeks unorthodox solutions to old or systemic problems. As an Office Manager, you will be the first point of contact for our company and the face of Monks in Berlin. Youre part of a team that keeps offices looking good, inside and out; taking care of hospitality and creating a welcoming work atmosphere in which everyone thrives. This position is required to present with no home office possibility.Responsibilities:Own operational management of the reception (F2F & by phone)Manage building access with visitors and vendors ensuring building securityCoordinate the continuous traffic in and out of the officeManage office administration and operationsOrder, receive and stock office supplies, including pantry stockMake sure our office looks good, inside and out; take care of hospitality and create a welcoming work atmosphere in which everyone thrivesSupport in organizing meetings & events like summer party, get together, etc;Be in contact with suppliers, vendors and other third parties;Coordinate the pick-up and delivery of express mail services;Keep a keen eye for detail around the office, ensuring the common areas are tidy and professionalContact the right vendors to manage onsite facilities including maintenance, troubleshooting and repair of physical property, office equipment, IT systems, building access and security, building improvements, general maintenance coordination and maintaining relationships with building management and ownership.Support the Berlin management team on projects including but not limited to event planning, interior decoration, facilities improvements and employee onboardingAbout YouThe essentials:Positive & proactive customer service attitudeExperience executing administrative tasks in a professional environmentProfessional attitude and presentationSolid written and verbal communication skills (English & German)Ability and desire to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksExceptional ability to learn, adapt, discover and test new ideasDesire to work in a fast-paced, high-pressure, and fun startup environmentYou have high moral and service standards and are a champion of friendly small talk and water cooler conversationsAvailable for at least 32 hours per weekNot a must, but a plus:Experience as an Office manager or similar roleA degree in higher education (Facility or Hotel-management would be much preferred)Hands-on experience with office equipment and IT systemsBased in BerlinInterest in advertising and marketingAt Monks, we believe in fostering an environment where a diversity of perspectives can thrive.
