What is the Opportunity? We are looking for a dependable and organized Administrative & Office Assistant to support our construction office operations at our Don Mills office. This position plays a key role in helping the project to maintain a well-functioning site or project office, while also assisting the HR team and supporting document control processes. What You''ll Do Office & Site Support Assist the project team office in ensuring the project office is clean, organized, and fully stocked. Order office and breakroom supplies, maintain kitchen and common areas (e.g., coffee, snacks, cleaning supplies). Greet visitors, subcontractors, and vendors in a professional and friendly manner. Support with general upkeep of the office and communication with facilities or service providers. Administrative Duties Handle day-to-day clerical tasks: filing, data entry, printing, scanning, and managing mail. Assist with scheduling meetings, coordinating calendars, and maintaining office logs. Help track deliveries, site access requests, and project-related office tasks. HR Support Assist HR with onboarding and offboarding tasks such as preparing new hire packages, ID badges, and collecting required documents (tickets, certifications, etc.). Other duties as requested by HR Manager What You Bring to the Team: High school diploma or equivalent required; additional certification in office administration or HR is a plus. 12 years of experience in an administrative or office support role, preferably in a construction. Comfortable working in a site-based or field office environment. Proficient in Microsoft Office (Word, Excel, Outlook); experience with document control systems is an asset. Strong attention to detail, organization, and communication skills. Able to handle confidential information with discretion. Ontario drivers licence
