Daily work responsibilities for this position could include: Effectively utilize the PLS Land Data Management System to manage and organize land-related information. Identify, manage, and process Third-Party Requests and related Agreements to support construction readiness. Communicate professionally and effectively with clients, regulatory agencies, legal representatives, engineers, surveyors, and industry peers to ensure clear and accurate information exchange. Maintain comprehensive project checklists to ensure all files are current, organized, and complete. Be available to support projects by working onsite at construction field offices as required. Demonstrate exceptional organizational skills with the ability to manage multiple tasks effectively, ensuring deadlines are met and priorities are maintained. Prepare comprehensive reports detailing file statuses, project updates, and associated issues. Maintain accurate records to support internal tracking and client reporting. Conduct detailed searches including Land Titles, Crown land inquiries, and Corporate Registry searches to verify ownership, rights, and legal requirements. Review engineering drawings and site plans to identify required agreements, ensuring compliance with regulatory and land access requirements. Prepare, review, and submit Third-Party Agreements and Consents, such as: Crossings (Railroad and Utility) Temporary and Permanent Workspaces Temporary and Permanent Access Agreements Road Use Agreements Temporary and Permanent Approaches Ground Disturbance Consents required for construction Manage road use invoicing processes, ensuring accurate billing, timely submissions, and consistent tracking of associated expenses. Develop and maintain detailed tracking systems to compile information related to all Third-Party agreements. Utilize line lists, databases, spreadsheets, and customized reports to manage conditions, timelines, and obligations. Maintain well-organized file systems to ensure accurate documentation storage and efficient information retrieval. Develop and maintain comprehensive construction documents for field staff and construction crews to support project execution and ensure easy access to critical information. Prepare, organize, and transmit finalized third-party files to clients for project closeout, ensuring all required documentation is complete and accurate. Proactively monitor project timelines, milestones, and deliverables to ensure tasks are completed efficiently and aligned with project objectives. Other land administration tasks as required. Your experience includes: Proficiency using Microsoft Office Suite, including SharePoint and Teams Land Administration certificate or equivalent experience in a Land Administration position Hold or ability to obtain a valid Alberta Commissioners for Oaths appointment, as well as other Provinces Knowledge of Spin II, ETS systems and AER OneStop, AEP EDS system, BCER Applications, ILRR, myLTSA, CORES, and ISC Knowledge of First Nations/Metis Consultation process Familiarity and expertise in different Regulatory Acts and their corresponding guidelines, including but not limited to AER, BCER, AUC, CER, and Land and Property Rights Tribunal The right candidate will be able to demonstrate related experience for the below: Attention to detail, accuracy, and highly organized Ability to multi-task and prioritize a variety of urgent tasks Excellent analytical and problem-solving skills Self-motivated and able to manage time effectively Excellent verbal and written communication skills Positive, friendly, and professional interaction with co-workers and clientele Desire to participate in team meetings and offsite meetings as required What we offer: Career development and advancement opportunities, because we value our employees and want to help you succeed by providing training and resources.
