Summary/ObjectiveThe Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, and inventory control. Energetic professional who doesnt mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. Essential Functions/ ResponsibilitiesPoint person for facility maintenance, mailings, shipping, office supplies, office equipment, and errandsOrganize and help schedule client and internal onsite meetings; assist with offsites as neededResponsible for managing office services by ensuring office operations and procedures are organized, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitoredEnsure office efficiency is maintained by carrying out planning and execution of equipment procurement, office layouts, site reorganization, and office systemsManage relationships with vendors and service providers as neededMonitor and maintain office supplies inventoryHandle internal employee inquiries and complaintsMaintain a safe and secure working environmentPartner with HR to maintain office policies as necessaryCoordinate with IT department on all office equipmentPerform review and analysis of special projects and keep management properly informedResponsible for ensuring office financial objectives by planning the expenditures, analyzing variances and carrying out necessary corrections that may ariseParticipate actively in the planning and execution of company events Required to work up to 5 days per week onsiteSupervisory ResponsibilityThis position does not have any supervisory responsibility or direct reports.Education and ExperienceProven office management, administrative or assistant experienceKnowledge of office management responsibilities, systems and proceduresHands on experience with office machines (e.g. fax machines and printers)Excellent time management skills and ability to multi-task and prioritize workAttention to detail and problem solving skillsExcellent written and verbal communication skillsStrong organizational and planning skillsProficiency in MS Office requiredKnowledge of clerical practices and proceduresKnowledge of business and management principlesWork EnvironmentThis job operates in a professional office environment.
