Advocate Printing & Publishing Advocate Print and Publishing Company seeks a detail-oriented and proactive Bid and Proposal Coordinator at our Halifax office. In this role you will manage the end-to-end tendering process and be responsible for monitoring government procurement portals, preparing high-quality tender responses, and supporting the sales team in securing large-scale contracts with government and non-government organizations. You will have a strong understanding of RFPs, RFQs, and other procurement processes, excellent writing skills, and a keen ability to identify opportunities that align with the companys offerings. Responsibilities Monitor and track relevant government tender websites (municipal, provincial, federal, and crown corporations) for potential opportunities. Analyze tender requirements, eligibility criteria, and submission deadlines to determine bid feasibility. Prepare, write, and submit compelling proposals, tenders, and quotations, ensuring compliance with all required specifications and deadlines. Collaborate with internal teams to gather necessary information for tenders, including pricing, production timelines, and technical specifications. Manage all administrative requirements for tender submissions, including document formatting, proofreading, and compliance checks. Assist the sales team with large-scale tenders for non-government organizations, ensuring timely and high-quality responses. Develop and maintain strong relationships with procurement officers and key stakeholders. Support strategic business development efforts by identifying new opportunities and recommending bidding strategies. Coordinate and maintain a database of past proposals, templates, and relevant sales documents for future reference. Conduct research on market trends, competitor activities, and government procurement policies to identify opportunities for growth. Provide insights and recommendations to the VP Sales & Marketing regarding potential opportunities and bid strategies. Ensure all proposals and tenders meet regulatory, legal, and company compliance requirements. Maintain detailed records of bid submissions, outcomes, and feedback to improve future success rates. Experience and Education Bachelors degree in Business, Marketing, Communications, or a related field (or equivalent experience). Minimum of 3-5 years of experience in sales support, tender management, proposal writing, or a related role. Experience with government procurement processes and familiarity with tendering platforms (e.g., MERX, Buyandsell.gc.ca, provincial procurement websites). Strong project management and organizational skills with the ability to handle multiple deadlines simultaneously. Excellent writing, editing, and proofreading skills with attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management software. Strong analytical skills and the ability to assess risk and opportunity in bid responses.
