Job Description

eoci is actively seeking a skilled and experienced Senior Project Manager to join our growing team. Were looking for someone with a strong background in continuing medical education (CME), ideally with 3+ years of experience in a CME agency, pharmaceutical company, or medical society. The ideal candidate is known for their ability to build trusted client relationships, lead with confidence, and collaborate seamlessly across teams.As a Senior Project Manager at eoci, youll work closely with Project Coordinators, Project Managers, Account Directors, and Vice Presidents to drive the successful planning, execution, and delivery of a wide range of accredited and unaccredited initiatives. These include congresses and symposia, advisory board and consultancy meetings, webinars and podcasts, slide decks, digital health initiatives, and more.Responsibilities:Assist Account Directors and Vice Presidents and oversee Project Managers and Project Coordinators in the planning and execution of programs taking responsibility for the overall planning, execution and delivery of small and large-scale programs across multiple formats, including live, virtual, hybrid events, congresses and educational initiativesPrepare comprehensive budget estimates to meet client needsDefine project scope and lead internal team members in the planning, execution, and delivery of multiple projects simultaneously, ensuring timelines, budgets, and quality standards are metServe as the primary point of contact for assigned clients and regularly communicate and lead calls with internal team members, healthcare professionals (HCPs) and external stakeholders to provide project status, project direction and address any issues that may ariseMonitor project progress, identify potential challenges, address client concerns and implement solutions, ensuring client satisfaction and retentionDevelop relationships with academic societies and accrediting bodies to enhance our medical education offerings and processes and ensure compliance with guidelinesLead and review accreditation application submissions and provide guidance for accreditation standards, processes and applicationsSupervise logistics for live and virtual events, including venue selection, accommodation bookings, food and beverage selection, travel arrangements and audiovisual setupManage the development of creative and marketing materials and promotional campaigns by approving the list of tactics and the promotion schedule. Innovate on new ways to market and promote programsCollaborate with cross-functional teams including internal team members as well as vendors and freelancers to support deliverables within agreed upon scope. This includes graphic designers, medical writers, proofreaders, translators, etc.Oversee and finalize document formatting, editing, printing and distribution to ensure all deliverables meet quality standardsProvide in-person and virtual onsite leadership for live events working with team members, clients, HCPs and vendors to successfully execute the eventMonitor project budgets, track expenses, and ensure accurate invoicing and billing according to client agreementsResponsible for advising clients when there is a potential that project will be over budget and/or out-of-scopeSupport internal projects for the Leadership Team and Operations, including research and beta testing of new tools, processes and programsTrack and submit time for project-related work for budget tracking purposesDevelop strong internal relationships and exemplify the companys core values accountable, collaborative, adaptable, respectful, fun.Commit to self-development and ongoing learning and professional developmentSkills and Qualifications:Strong interpersonal, customer service, organizational and time management skillsAbility to work successfully and proactively in a fast-paced environment with multiple projects and clients with competing deadlines and changing workload demandsExperience managing project budgets, tracking expenses and ensuring projects are delivered within financial constraints.
