Travel Coordinator (Based in Timmins, ON)The Travel Coordinator will effectively and efficiently coordinate the travel arrangements for our mining clients operation. This includes arranging air and ground transportation, on-site and off-site accommodations, and orientation requirements for those travelling to the mine site and other areas as required, as well as to provide general administrative support to the mining project teams.Key ResponsibilitiesArea 1: Oversee the travel and orientation arrangements for team members and others as expectedCoordinate domestic and international flights, hotel bookings, rental vehicles and other travel requirements for project and operational team, including consultants and other stakeholders; serve as a general resource and point of contact for travel related issues or concerns.Coordinate on-site accommodations and bus transportation; serve as primary contact between for Guest Service Agents, Busing Coordinator and Camp Managers.Research and inform passengers of travel requirements or restrictions.Arrange detailed travel plans and itineraries and compile additional documents upon request.Coordinate special travel including chartered flights, coach bus, town cars, taxis, etc. as needed.Receive, code and approve invoices related to travel and prepare for statement reconciliation.Liaise with Administrative Assistant for other travel needs. Area 2: Lead the development, implementation and documentation of business practices and policies related to the clients travel protocols.Implementation of processes, policies, systems and practices within Protocol function that maximize operational efficiencies and competitive advantage.Ensure protocol policies and procedures are distributed for implementation and develops or modifies procedures as needed.Identify strategies and key performance goals and act as an advisor to the direct reports; work to overcome challenges and barriers and minimize risk.Area 3: Provide general administrative support and basic level customer support.Demonstrate exceptional organizational skills and able to respond to multiple priorities.Coordinate training and site orientation requirements for new hires and site visitors.Maintain project teams rotation schedules.Track and maintain owner hours and complete reporting as required.Maintain inventory of offices supplies and PPE distribution.Assist with on-site and off-site events, including preparing agendas, presentations, catering, preparing meetings spaces, etc.Organize and maintain file system and file correspondence and other records as needed.Provide relief for Administrative Assistant as required.Qualifications External Minimum Requirements Minimum Qualifications, Formal Education, Certifications or EquivalentsMinimum Grade 12 educationCompletion of a one- or two-year college program in office administration, travel or tourism or other related field would be an asset.Work Experience - Nature & LengthPrior working experience in travel/logistics/protocol industry with good working knowledge of ticketing and travel logistics.Previous experience working in the mining industry or camp travel logistics would be an asset.Experience with protocol matters is preferred.Additional Qualifications - Competency RequirementsComputer literate and proficient in Microsoft Office suite.High level of interpersonal skills to handle sensitive and confidential situations. The successful applicant will be required to work in the transportation office located in 1 - Sudbury and the second role is required to be in Timmins. This is not a remote working from home role as it requires team collaboration and in person communications.
