OverviewWe are seeking a dedicated and experienced Dispatch Manager to oversee and optimize our logistics operations. The ideal candidate will possess a strong background in freight management, shipping and receiving, and supply chain processes. This role is crucial in ensuring timely and efficient transportation of goods while maintaining high standards of service. The Dispatch Manager will lead a team, manage phone systems, and utilize transportation management systems to analyze data and improve operational efficiency.ResponsibilitiesDaily Truck Pickup DispatchingManage truck pickup scheduling for fixed merchants from Monday to Friday, ensuring efficient dispatch based on each merchant's specific pickup time requirements.Adjust pickup schedules dynamically for certain merchants based on real-time group messages, while others follow a fixed schedule.Plan and optimize daily pickup routes and schedules based on cargo volume and driver availability to improve dispatch efficiency.Coordinate driver resources to ensure timely completion of merchant pickups and handle unexpected changes, such as pickup time adjustments or driver absences.Maintain timely communication with merchants to confirm cargo readiness, preventing unnecessary trips or delays.Airport Cargo Pickup CoordinationAssign drivers for airport cargo terminal pickups in a systematic and efficient manner.Track flight arrival times and cargo release status to develop pre-planned pickup schedules.Inform and guide drivers on required documents for smooth cargo retrieval at the airport.Monitor driver arrival times and cargo collection progress, resolving on-site issues such as cargo not being released or missing documents.Compile and report daily airport pickup data to relevant departments.Categorize pickup processes according to customs brokers and ensure proper scheduling.Follow up on customs clearance progress to arrange prompt pickup upon cargo release, minimizing delays.Verify pickup invoices and payment details to ensure accurate processing.Vehicle & Driver ManagementOversee daily dispatch and management of company-owned and partner vehicles, ensuring optimal resource allocation.Regularly inspect vehicle usage, monitor vehicle conditions, trip records, and driving safety.Assist with driver management, including scheduling, incident reporting, and daily communication.Supervise drivers adherence to safety regulations and service standards, addressing any violations promptly.Work with relevant departments to ensure proper vehicle maintenance, repairs, and insurance management to support smooth operations.Communication & CoordinationMaintain effective communication with merchants, drivers, customs brokers, and cargo terminals, ensuring timely updates on pickup requirements and changes.Assist in handling emergencies, such as pickup disruptions, cargo shortages, vehicle breakdowns, or terminal congestion, to ensure successful deliveries.Summarize daily pickup and dispatch data, report findings to relevant departments, and support ongoing dispatch optimization efforts.RequirementsProven experience in dispatch management or a related field within the transportation industry.Strong knowledge of freight operations, shipping, and receiving processes.Familiarity with supply chain principles and practices.Proficiency in using transportation management systems (TMS) and AS400 software.Excellent phone etiquette with strong communication skills.Ability to analyze data effectively for decision-making purposes.Detail-oriented with strong organizational skills for managing multiple tasks simultaneously.Ability to work collaboratively within a team environment.If you are passionate about logistics and have the skills necessary to lead our dispatch operations effectively, we encourage you to apply for this exciting opportunity.
