AGRI-NEO JOB DESCRIPTIONOffice AdministratorMember of: Human Resources Team Location: Toronto, ON COMPANYAgri-Neos mission is to help safely feed the world. Our vision to accomplish this is to set new food safety standards with our treatments for many foods. Our first product line is Neo-Pure, which leverages our proprietary technology of liquid formulas and systems that apply our solutions onto spices, seeds, herbs, and nuts in food processing facilities. These solutions control pathogens such as Salmonella and other quality indicator microorganisms (TPC, coliforms, etc.) to ensure the food is safe to eat and to prevent recalls. We have several customers throughout the globe (North America, Latin America, China, and Egypt), including large mainstream food processors that treat food continuously at high throughputs. We are scaling up our products at more mainstream customer sites to ensure that we set new food safety and food quality standards to help safely feed the world.POSITION SUMMARYThe Office Administrator is responsible for managing day-to-day administrative tasks within an office, including maintaining schedules, handling correspondence, organizing meetings, managing office and kitchen supplies, overseeing filing systems, and providing support to staff, ensuring the smooth operation of the office environment. The Office Administrator will also assist with basic HR functions, health and safety support, and coordinating office events. Key Responsibilities Office AdministrationAct as the first point of contact for employees with office operations related concerns and actively resolves issues.Greet all visitors and receive front office deliveries.Answering phone calls, responding to emails, and managing incoming and outgoing mail.Maintain accurate filing systems, both physical and digital.Ensure effective upkeep of the office including ordering supplies, stationery, equipment, kitchen supplies, and office furniture. Work closely with contractors / service providers, ensuring that the office is functional and accessible, and any issues are resolved quickly and efficiently.Facilitating the coordination of building repairs and improvements.Assist with meeting coordination agendas, meeting room bookings and preparation, ordering lunches and clean up. Organize company meetings set up IT equipment, order lunches, clean up. Prepare company-wide communications (team emails) as needed.Social committee - assist with organizing company events and team well-being initiatives.Provide back-up support in the absence of the Office Manager, including executive support. Other duties as assigned.Health & SafetyEnsure all office health & safety requirements are upheld and monitored.Assist with monthly health and safety inspections.Maintain working knowledge around workplace safety as required.Human ResourcesMaintaining employee records and managing our HRIS (Humi).Expense submissions (Dext).Provide recruitment support as needed.Assist with onboarding new employees.Qualifications:High School Diploma or equivalent is required. Post secondary education in office or business administration is an asset.2-3 years experience in an administrative role.Proficient communication skills, verbal and written.Interpersonal skills to interact effectively with employees and managers.Highly organized with strong attention to detail and accuracy.Must have a car / drivers license.Skills:Excellent problem-solving skills and ability to meet deadlines.Ability to multi-task in a fast-paced environment.Ability to work in a team environment.Proficiency in Microsoft Office Suite.Knowledge of standard office equipment (printers, IT equipment, etc.)Proficiency in video conferencing software such as Teams and Zoom.As part of our commitment to inclusivity, diversity, equity and accessibility, our goal is a workforce built on respect that reflects the communities we serve.
