The Executive Operations and Fund Development Lead plays a critical role in supporting both the Executive Team and the Fund Development of the organization. organization.Executive Operations Responsibilities:Calendar and Schedule Management:Manage and maintain the executive team's calendar, including scheduling meetings, appointments, and events.Prioritize appointments and deadlines to ensure optimal time management.Coordinate with internal and external stakeholders to arrange meetings, often working across time zones.Communication and Correspondence:Act as the primary point of contact between the executive team and other team members, board members, donors, and external partners.Draft, proofread, and send emails and letters on behalf of the executive.Handle sensitive and confidential information with discretion and professionalism.Meeting and Event Coordination:Organize board meetings, staff meetings, and executive team meetings, including preparing agendas, taking meeting minutes, and distributing follow-up action items.Organize logistics for key events (i.e., donor events, community outreach, or conferences) ensuring all details are covered (venue, materials, catering, etc.).Prepare and present briefing materials and presentations for the executive team.Document and Information Management:Prepare reports, presentations, and other documents as needed for meetings, presentations, and fundraising activities.Maintain accurate and organized records, both digital and physical, to ensure easy retrieval of important documents.Assist in managing confidential information, such as donor details, employee performance evaluations, and strategic plans.Travel Arrangements:Organize travel arrangements for the executive team, including flights, hotels, transportation, and itineraries.Ensure all travel logistics align with the executive teams calendar and organizational needs.Project Management Support:Assist the executive team with various special projects, providing administrative support and helping track progress and deadlines.Help manage the workflow of the executive team, ensuring that internal tasks and goals are met.Fund Development Responsibilities:Fundraising Strategy Development:Develop and implement a comprehensive fundraising strategy aligned with Aura Freedoms mission and goals.Set and manage fundraising targets, ensuring that fundraising activities and efforts are efficient and well-coordinated.Work with the executive and development team to identify potential areas for fundraising growth.Grant Research and Writing:Research and identify grant opportunities from foundations, government agencies, and corporations that align with the non-profits goals.Write and submit compelling grant proposals, ensuring compliance with the funders requirements and deadlines.Track grant opportunities and deadlines, ensuring that applications are submitted on time.Donor Cultivation and Stewardship:Develop relationships with current and prospective donors, including individuals, foundations, and corporate partners.Steward existing relationships through regular communication, thank-you notes, and recognition efforts.Coordinate donor meetings, ensuring appropriate follow-up and personalized engagement strategies.Fundraising Events & Campaigns Coordination:Plan and execute fundraising events (virtual or in-person), including donor galas, auctions, campaigns, or community outreach programs.Coordinate logistics for events, such as venue selection, invitations, and guest lists.Work with marketing and communications to promote events and increase attendance.Lead and manage fundraising campaigns (e.g., annual campaigns, online donation drives, major gift campaigns) from concept through execution.Analyze past fundraising data to evaluate what worked and suggest improvements for future campaigns.Work with the communications team to ensure that campaigns are well-publicized and that materials are donor-focused.Donor Data Management:Manage and update the donor database, ensuring that all information is current and accurate.Track donor giving history, upcoming renewal dates, and special donor milestones.Prepare donor reports and analyze trends to help inform future fundraising strategies.Corporate and Community Partnerships:Build and maintain relationships with corporate partners, foundations, and community organizations to secure sponsorships, partnerships, and donations.Negotiate sponsorships and develop mutually beneficial relationships to support the organizations fundraising goals.Budget Management and Reporting:Develop and manage fundraising budgets to ensure resources are allocated efficiently.Track the expenses related to fundraising events and campaigns, ensuring that the cost-to-return ratio is optimal.Provide regular reports on fundraising progress and outcomes, offering analysis to leadership on donor trends and revenue projections.Public Relations and Marketing:Collaborate with the marketing and communications team to create materials for fundraising, including brochures, donor newsletters, and impact reports.Ensure that fundraising efforts are aligned with the organizations overall branding and messaging.Help maintain a positive public image of the non-profit, ensuring that donors feel valued and connected to the mission.Required Qualifications and Skills:Professionalism:Exceptional interpersonal and communication skills, with a demonstrated fundraising, donor relations, or development within a non-profit organization.Proven track record of successful fundraising strategies and campaigns, including experience with grants, major gifts, and events.Strong knowledge of donor cultivation, stewardship, and best practices in non-profit fundraising.Experience in writing and submitting grant proposals and managing grant reporting requirements.Executive Skills:Previous experience supporting senior executives or leadership teams in a fast-paced, high-demand environment.Strong organizational skills with the ability to prioritize and manage multiple projects simultaneously.Ability to act as a liaison between the executive team, staff, and external stakeholders, ensuring clear communication and smooth workflow.Experience in creating and maintaining systems for efficient project tracking and documentation.Tech-Savvy:Proficiency with office software (e.g., Microsoft Office Suite, Google Workspace, etc.) and project management tools (e.g., Trello, Asana, etc.).Familiarity with donor management and fundraising platforms (Canada Helps, Benevity, etc.) and the ability to use these systems to track donations, donor engagement, and campaigns.Experience in managing virtual meetings and using tools like Zoom, Google Meet, or MS Teams.Ability to quickly adapt to new technologies and software as required by the organizations needs.Proficiency in the maintenance of Word Press or Elementor websites.Proficiency with various Communications software such as Canva, Eventbrite, Mail Chimp, Survey Monkey, and
