Position: ORDER DESK & RECEPTIONIST Overview: The Order Desk/Receptionist reports to the Sales Manager and is primarily responsible for inputting orders, generating daily invoices, assisting the Manager where required and working with the Sales Team. Responsibilities: Order Entry Obtain orders from email, messages, fax machine and phone calls. Enter all orders into the in-house system ERP and print invoices daily by the scheduled time. Contacting customers by phone to take orders and for follow-ups when required Keeping the deadline for orders delivered by our DSD or third-party ATS Communicate orders with the Production team Daily Duties Communicate with all customers and professionally address their needs. Gather invoices daily and separate them accordingly. Open and distribute the mail. Check the general mailbox phone messages every hour. Answer calls and forward them to appropriate departments. Front door receptionist for everyone entering the office and directing them accordingly Ordering office materials and keeping stock of office essentials Other Update and manage changes to customer information in the in-house system. Implement any price changes in the system, whether permanent or promotional. Communicate with the Route Delivery Drivers about changes to the customer orders. Effectively re-routing delivery days with holidays and closures Requirements: Attention to detail and strong organizational skills. Experience with Outlook and Microsoft Excel Strong customer service orientation. Strives to exceed customer expectations. Deals effectively and professionally with issues that arise. Ability to work well in a team environment & demonstrate respect for coworkers. Ability to describe products to customers. Excellent communication skills,with Good English Sound problem-solving abilities Experience in a similar role is a definite asset Ability to handle detailed documentation and paperwork Drivers License/reliable way to get to work.
