Our client within commercial real estate requires an Executive Assistant to join the company. This role will support the President & CEO.Responsibilities:Manage the President & CEOs complex calendar, scheduling meetings and travel arrangements;Assist with personal tasks, including but not limited to, booking appointments, managing personal travel arrangements, itineraries, reservations and other ad hoc requests as needed;Act as a liaison between the CEO and senior leadership, Board of Director, investors, and external partners;Represent RioCan and the office of the CFO in a positive light through excellent follow-through skills, attention to detail, prioritization, communication, and sound judgment;Plan and execute Board of Director meetings, leadership offsite, and key corporate events, including agenda preparation, material distribution, and minutes recording;Draft, review, and manage confidential correspondence, reports, presentations, and pre-meeting briefing documents;Manage sensitive matters with a high level of confidentiality and discretion;Handle expense reporting, budget tracking, and invoice processing related to the executive office;Coordinate with the Communications team on key messaging, media engagements, and corporate announcements;Ensure smooth and efficient office operations, identifying areas for process improvement and technological advancement.Qualifications:7+ years of experience as an Executive Assistant, with a minimum of 3 years supporting C-suite executives, preferably in real estate, finance, or a corporate environment.Proven success in a high-volume work environment with balancing and shifting priorities.A Bachelors degree, college Diploma, or Certificate in Executive Office Administration is considered an asset.Advanced proficiency in Outlook, MS Word, and PowerPoint.Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.Exceptional verbal & written communication skills with a strong business sense and ability to fact-check and proof documents.Proven ability to work in a team environment.Proactive, show initiative, and exercise good judgment.A high sensitivity to the confidentiality of information.Ability to think outside the box with a sense of urgency, decipher priorities and make sound judgment calls when needed.
