We are in search of a dynamic and client-centric Administrative Assistant to join one of our client teams. As a pivotal member, your role will involve maintaining client management by promptly responding to inquiries and providing proactive support to our advisory team. Your duties will encompass overseeing customer relationship management (CRM), ensuring compliance, managing in-force policy administration, coordinating schedules, refining business processes to enhance efficiency, and elevating the client experience.We are looking for an agile individual who excels in proactively building and implementing systems and processes while delivering exceptional client service. If you are driven by innovation, possess outstanding organizational skills, and thrive in a collaborative environment, we invite you to apply.Key Responsibilities (including but not limited to):Administrative Services:Manage mail, filing systems, and document digitization.Maintain Salesforce with accurate client interactions and updates.Organize meetings, materials, and office supplies.Client Services:Handle client inquiries, account updates, and requests.Ensure timely processing of address and bank changes.Proactively engage clients for follow-ups and appointment scheduling.Pre and Post Meeting Preparation:Coordinate meeting logistics, agendas, and supporting materials.Review forms and checklists for accuracy.Provide clients with post-meeting summaries.Insurance Services:Process and review insurance applications for completeness.Manage underwriting and liaise with insurance providers.Ensure compliance with industry regulations.Investment Services:Track investment-related tasks, trades, and transfers.Maintain compliance and reporting standards.Support investment documentation and workflow efficiency.Qualifications:2-5 years of administrative experience preferably in financial servicesStrong analytical and problem-solving skillsExcellent communication and interpersonal abilitiesMutual Fund LicencePreferred Qualifications:Bachelors degree or college diplomaWilling to attain secondary license (LLQP)Experience using cloud-based software and technologyBenefits:Competitive salaryPaid vacationProfessional development opportunities
