IMMEDIATE INTERIM OPPORTUNITY Interim Director Facilities & Procurement Reports to: Chief Financial Officer Duration: 3-6 Months Location: Toronto (Hybrid) Our client, a high profile not-for-profit who do some amazing work across Canada empowering those with disabilities to unlock the richness of their lives. This is a fantastic assignment as our client is looking to hire an experienced professional to help them challenge themselves thinking and evolving the effectiveness and value of their facilities and procurement functions. This will release more money by making the organization more efficient so they can help more people in Canada. Our client has launched a new strategic vision and plan, placing a significant emphasis on process improvement and service excellence. In order to continue effective support of the business and to meet the goals of the new strategic plan this assignment has been created to perform a best practice review of the procurement and facility management portfolios. The right candidate will be an exceptional leader who can embrace technology, implement best practice enhancements, and transform the facilities management and procurement functions. Key Accountabilities: Perform an initial assessment of the people, policies, processes, and procedures providing key insights to the CFO and agreeing the change objectives of the assignment Build out the change plan with key deliverables and timetables Own the execution of the transformation Facilities Management: Oversee facilities across multiple offices & locations, inclusive of staff management strategy, skill development, and fiscal budgetary responsibilities Manage and build out Facility Management team for scalable management of all size of offices Contribute to strategic planning, direction, and goal setting for the department or function in collaboration with executive management Develop and implement policies governing facility maintenance and repair, space planning and utilization, design, and construction Plan, oversee, and execute physical moves. Solicit bids, selects contractors/subcontractors, and negotiate bids for the renovation or construction of facilities Conduct space planning or modify building/equipment layouts in response to changing organizational needs Facilitate improvements in remote work setup for colleagues across Canada Procurement Management: Responsibilities include procurement strategy, portfolio planning, day-to-day operations, and stakeholder management with a commitment to best practices and timely service delivery. Lead transformational activities to build procurement organizational capabilities and improve procurement efficiency Management of top critical suppliers and vendors and negotiations Drive identified procurement cost savings and focus on year over year (YoY) business-defined targets Implement processes & controls to drive compliance to sourcing and procurement programs Ensure that organization procures goods and services in accordance with the goals and objectives of Procurement Policy and applicable legislation. Construction Management: Plan and oversee construction and renovation projects. Coordinate with contractors, architects, and engineers. Ensure projects are completed on time, within budget, and to specifications. Space Planning: Develop and implement space planning strategies. Optimize the use of space to meet the company''s needs. Manage office layouts and workspace allocations. Real Estate Leasing: Manage real estate leases and property agreements. Negotiate lease terms and renewals. Ensure compliance with lease agreements and property regulations. Policy Development: Develop and enforce facility management policies and procedures. Ensure compliance with health, safety, and environmental regulations. Implement best practices in facility management. Education & Experience: Completion of a University Degree in Facilities Management, Engineering, Commerce, Business Administration or a related discipline, or an acceptable combination of education, training, and/or relevant work experience. 5+ years in a senior leadership capacity in procurement. Extensive experience leading facilities teams with a focus on driving efficiencies. Have led projects to outsource key facilities management responsibilities such as space planning, construction, and Real Estate Leasing to enhance value. Advanced knowledge and experience in the full procurement life cycle for goods and services; analyzing requirements, determining procurement method, preparing documents, request for proposals (RFPs), evaluations and contracts. Experience working within the parameters of the Broader Public Sector Procurement Directive. Strong knowledge of space planning and policy development. Excellent project management and organizational skills. Ability to understand stakeholder needs and motivate, engage, influence, persuade and liaise effectively. Ability to interact with various levels of management / senior executives. Possess superior interpersonal and communication skills. Ability to lead continuous improvement and high performance of teams. Excellent management skills encompassing resource planning, organization designs, organization capability, staffing, and resource allocation. Preferred Qualifications: Professional certification in facilities management (e.g., IFMA, BOMA). Experience with sustainability and energy management practices. Proficiency in facilities management software and tools.
