Job Description

TAAGs service lines include accounting and bookkeeping, tax planning, multi-family office services including wealth management, business and corporate law, and marketing and design. We are currently seeking an experienced Office Administrator to join our dynamic team.The Office Administrator will handle financial tasks, including payroll processing, bookkeeping, accounts payable (AP), accounts receivable (AR), billing, and Work-in-Progress (WIP) management. Strong organizational, communication, and multitasking skills are essential, along with attention to detail and the ability to manage multiple priorities effectively.Additionally, the Office Administrator will be responsible for handling daily administrative operations, ensuring the smooth and efficient functioning of the office while providing support to staff and management. Key responsibilities include overseeing communications, handling correspondences, and coordinating office activities. The role also involves supporting social media management by assisting with content creation, posting updates, and engaging with audiences to enhance the companys online presence.Key Responsibilities:Financial & Accounting SupportProcess payroll and maintain accurate records.Handle bookkeeping, including accounts payable (AP) and accounts receivable (AR).Manage billing and Work-in-Progress (WIP) tracking.Ensure financial transactions are accurately recorded and reconciled.Process vendor invoices, ensuring accuracy and compliance with company policies.Maintain AP records, reconcile statements, and resolve discrepancies.Monitor and manage vendor accounts to ensure timely payments.Track incoming payments and post transactions to accounting software.Reconcile AR accounts and follow up on outstanding balances.Prepare financial reports for management as needed.Assist with month-end and year-end financial close processes.Administrative & Office Support:Handle payroll processing and employee records management.Maintain payroll records, including timesheets, deductions, and tax withholdings.Ensure compliance with federal and local payroll laws.Assist with benefits administration and employee payroll inquiries.Oversee daily office operations and maintain an organized workspace.Handle correspondence, emails, and document management.Coordinate meetings, appointments, and office activities.Assist with general office support and staff coordination.Assist with special projects, reporting, and other administrative duties as necessary.Communications & Marketing SupportAssist with social media content creation, posting, and audience engagement.Support marketing efforts, including Mailchimp email campaigns.Qualifications:Associates or Bachelors degree in Accounting, Business Administration, or a related field preferred.Certified Payroll Compliance Practitioner Professional (PCP), Certified Bookkeeper (CB), or another relevant certification is considered an asset.Minimum of 2-3 years in office administration, bookkeeping, or a similar role.Proficiency in accounting software (QuickBooks, Sage or similar), Microsoft Office (Excel, Word, Outlook) and Adobe.Experience in Sage Accounting or CCH iFirm would be considered an asset.Experience in marketing, social media management, and proficiency in Mailchimp is considered an asset.Strong organizational, communication, and problem-solving skills.High level of accuracy in financial transactions and record-keeping.Comfortable handling multiple responsibilities in a fast-paced environment.Why TAAG?The numbers are secondary to the person sitting in front of us or on the other side of the phone.
