Reporting to the Area Director, the Administrative Assistant will provide administrative support to senior leaders across multiple teams in the organization. In addition to documents and calendar management, the Administrative Assistant will also help in preparing expense reports, booking travel, coordinating meetings and other ad-hoc tasks as they arise. Responsabilities Act as a point of contact for internal and external communications. Manage schedules, appointments and meetings for key management personnel. Prepare, format and edit correspondence, reports and presentations Establish, develop, maintain and update filing system. Retrieve information from files when needed. Coordinate external project work, such as printing and publishing departmental reports, booklets, brochures and procedures. Assist with preparing visual presentations and reports. Assist with maintaining department SharePoint pages. Greeting and helping visitors and ensuring a professional atmosphere. Qualifications Minimum 5 years of administrative experience in a fast-paced, corporate environment. Experience providing support to multiple professionals and managing competing priorities. Experience with complex calendar management, booking meetings, events, scheduling travel and managing expense reimbursement process. Advanced knowledge of Microsoft Office Suite products with the ability to build PowerPoint presentations and manage Excel spreadsheets. Exceptional communication skills both written and verbal, as well as strong interpersonal skills is required. Proven attention to accuracy and detail, highly organized and able to prioritize and multi-task.
