Reporting to the Practice Development Supervisor, this position will assist with daily administrative tasks and client services. Experienced: with a minimum of 1 year previous experience in customer service and office administration; Educated: with a completed diploma or certificate as a legal assistant, office administrator, or equivalent training; Skilled in work: excellent analytical and organizational skills, excellent customer service skills, ability to multi-task and prioritize with minimal supervision and delay, strong computer skills (experience with Microsoft Office and PC Law software is an asset); Interested in immigration law: experience in an immigration and refugee law environment an asset; Skilled as a person: with a positive attitude, a sense of perspective, a drive to learn and grow, a desire to provide meaningful, supportive customer service. Job Responsibilities: Arranging couriers and managing client/firm mail; Greeting clients in the office; Managing firm communications for current clients including incoming calls, voicemails, emails, and faxes; Managing bookings and certificate verification for Legal Aid clients; Make copies/scans for support staff and intake purposes; Opening e-files at the instruction of the Practice Development Supervisor; Closing files; Preparing retainer agreements; Complete basic webform requests for support staff; Support with planning firm social events; Provide backup for Practice Development Supervisor in client intake as needed; Maintaining office cleanliness; Bank deposits; and Running office errands (for example Canada Post runs, purchasing snacks for office).
