Job Description

Position: Administrative Assistant Location: Toronto Salary: $26-$30 per hour Job Type: 3-month contract (potential for extension) We are currently seeking a proactive and detail-oriented administrative professional for a 3-month contract, with the potential for extension, to join a dynamic team. The position offers the opportunity to support multiple functions and contribute to key strategic initiatives in a fast-paced, supportive environment. What you will do: - Administrative Support: Prepare correspondence, memos, minutes, spreadsheets, proposals, presentations, client briefings, and reports of a confidential, strategic, and specialized nature - Cross-Functional Collaboration: Assist various departments (Marketing, Operations, Technical Services) within the eam with special projects or initiatives. - Meeting & Travel Coordination: Schedule team meetings, conference calls, arrange travel accommodations, and ensure meeting equipment and setups are organized. - Expense Management: Handle credit card applications, code corporate invoices, process expense reports, and manage cheque requisitions. - Records Management: Maintain and organize electronic filing systems for the team. - Internal Liaison: Act as the point of contact for field personnel and departments (People & Talent, Health & Safety) on behalf of the team. - Communication & Support: Provide information and direct inquiries to appropriate team members. Manage updates to the residential portal as necessary. Who you are: - Post-secondary education and 2+ years of administrative experience. - Strong verbal and written communication skills with the ability to build relationships and maintain confidentiality. - Highly organized with excellent time management, multitasking, and adaptability under pressure. - Detail-oriented, capable of working independently, and handling unexpected issues efficiently. - Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) with strong grammar and typing speed of 60+ WPM.
