Summary of Position: The Estimator/Project Coordinator is responsible for gathering pricing from trade partners and vendors to accurately estimate each project. You will work closely with the Sales and Design team to prepare and track pricing feedback for budget meetings with clients, prepare and participate in trade-walks, assist in packaging projects for production, and participating in handing projects off to the production team. Maintain the Rusch Design build standard of excellence for all work and company culture through a TEAM approach. Ensure that projects are delivered on time and on budget, deficiency free. Knowledge of general office procedures. Detail oriented and highly organized Good technical writing and graphical presentation skills Manage own tasks while supporting and sharing ideas with teammates on multiple projects simultaneously. Meet RDB design/build process deadlines including trade walkthroughs and project starts. Help create and improve Standard Operating Procedures (SOP). Help troubleshoot existing policies and recommend improvements where needed. Assist in developing, implementing, enforcing, and updating estimating procedures. Responsible for estimating and working with our design team to deliver a budget that is profitable to the company and realistic for production. Maintain trade bank and look out for new trades, keeping Rusch Design Build competitive. Material take-offs Check pricing periodically to ensure we are receiving competitive pricing. Specific Duties: Estimating/Pre-Construction: Review plans, schedules, and specifications to accurately estimate the materials and labor needs for every project assigned. Work with sales team to meet deadlines for regular budget check-ins with clients for sharing up-to-date budget information. Collect any pricing information from design and input into estimating spreadsheet. Track changes to design details and keep estimating spreadsheet updated. Track costs to meet budget guidelines. Perform material take-offs and estimate all project labor hours. Prepare budget presentation sheet for sales to share with clients at budget meetings. Work with sales on identifying areas for value engineering and inform Design team. Identify design details/selections that are outside of budget and communicate to sales. Work with design team to gather pricing for all items as specified. Prepare first draft of Request for Proposal (RFP) documents and send to design for final review. Finalize and send Request for Proposals (RFPs) to trade contractors/ vendors. Track all RFPs sent, trade proposals received, and changes requested. Send invitations/schedule/coordinate trades to attend trade-walks to gather trade pricing for fixed price construction agreement. Follow-up and manage trades estimates and materials estimates. Revise trade estimates as required for fixed price construction agreement. Track follow-ups, and revisions accordingly. Work with the sales and design team on budget solutions. Assist in writing, reviewing and/or editing detailed specifications. Responsible for communication with other disciplines, vendors, and contractors to ensure incorporation of all pricing and information into project requirements and provide support as necessary. Initiate conversations with new trade partners and vendors following RFP/proposal procedure. Send new trade information to accounting department to acquire trade agreements and other documentation needed for proper trade partner set up prior to job start. Construction Agreement: After final budget is confirmed, prepare Construction Agreement and all other documents to complete the Construction Document Package for authorization. During Construction: Support production team with estimating when needed for larger change orders. Work in collaboration with and be a resource for the production team, handle construction questions and participate in field meetings when necessary. Respond to Slack & Buildertrend with appropriate project updates Update all information as requested by appropriate team members due to changes or modifications throughout the design and construction process. Post Construction: Participate in Job Debriefs held 1-2 months after completion of a project to learn from completed projects and implement improvements for future projects in design/estimating phase.
