Role: Client Relations Coordinator We are seeking a highly motivated and detail-oriented Client Relations Coordinator to provide support to ongoing projects, and to provide administrative duties for The Bayley Group (BG) and its clients, including medical associations and related conferences. Additionally, the Coordinator will take on administrative and planning responsibilities for two online educational academies. This role requires strong communication, organizational, and multitasking skills, with a focus on providing exceptional service to clients and stakeholders. Job Location: Hybrid The office is located in Hensall, ON. Position Type: Full-Time / Contract Optional Reports To: Director of Operations Work Schedule: Monday to Friday (Weekend work or travel with prior notice might be required for events). Key Responsibilities: Client Relations: Serve as the first point of contact for current and prospective clients, answering inquiries and providing timely responses to their needs. Build and maintain strong relationships with clients, ensuring high levels of satisfaction. Association Management: Lead the Secretariat operations for three medical associations, overseeing administrative tasks such as managing governance documentation. Coordinate and support association AGMs and Board meetings. Educational Academy Support: Provide administrative and operational support to two online Educational Academies. Assist the Academy planning committees with the organization, coordination, and delivery of virtual educational events and content, ensuring alignment with the objectives of each Academy. Maintain clear communication with stakeholders to ensure the smooth operation of the Academies'' activities. Speaker Management for Conferences: Manage the coordination of speakers for two medical conferences, including inviting and confirming speakers, panelists, and experts. Ensure all necessary materials, communications, and logistical requirements are prepared for the faculty before and during the conferences. Track faculty participation and ensure smooth delivery of conference-related activities. Company Administration: Assist with administrative tasks to support BG daily operations and projects. Event & Conference Support: Attend events to support Speaker requirements on-site. Attend additional events on-site as needed. Skills & Qualifications: Post-Secondary education in event management, client relations, association management, or a related field. Experience in association or event management. Proven experience in client relations, with a focus on customer service and relationship-building. Strong organizational skills with the ability to manage multiple projects and meet deadlines effectively. Self-motivated, critical thinker with a strong drive for continuous improvement and growth. Excellent written and verbal communication skills, with a professional demeanor and ability to engage with diverse stakeholders. Ability to manage administrative tasks efficiently while supporting client-facing functions. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with event management platforms (e.g., STOVA) and/or willingness to learn new systems. Strong attention to detail and the ability to problem-solve and adapt to changing circumstances. Enjoys being part of a team and working in a fast-paced and collaborative environment.
