Advantages -Start date: Feb 18th,2025 -3 months contract with the possibility of an extension -Hybrid work model -Office located in the heart of Downtown Toronto -Opportunity to work for an organization whose mandate involves significant social impact Responsibilities Communication & Correspondence - Prepare standard correspondence and assist with internal/external communication - Monitor, screen and respond to incoming communications, distributing as necessary. - Develop and maintain external communications, including managing contact lists Meeting & Event Coordination - Coordinate and manage calendars for the CEO, board and leadership team, including external meetings -Organize administration for board, leadership and external meetings in a hybrid environment - Assist with the development of meeting agendas and take notes during meetings - Facilitate travel arrangements for the CEO, Board and leadership team as needed Documentation & Reporting - Conduct research, prepare documents for review and create presentations - Update the board and leadership portals with relevant document -File, retrieve and maintain records and reports Administrative Support - Timely completion of monthly expense reports, ensuring compliance with company policies - Provide general office administrative Support, managing complex tasks independently - Assist in the development and maintenance of relevant systems and processes Qualifications -Proven 3+ years experience as an executive assistant or a similar administrative -support experience in a fast-paced and dynamic environment -Excellent written and oral communication skills with a keen eye for detail -Proficient with Microsoft Office tools, including Word, Excel, Outlook and -PowerPoint, (SharePoint) and social media platforms -Ability to manage multiple projects and meet deadlines independently -Ability to conduct research and create reports or presentations -Excellent business acumen, interpersonal skills, and sound judgment -Ability to handle confidential information with discretion and integrity -Ensures integrity in personal and organizational practices. -Proactive problem-solving and decision-making skills -Excellent time management and organization skills, supported by relevant systems and processes -Ability to learn quickly and adapt to new information -Bi-lingual (French/English) is an asset
