Job Description

Title: Program Coordinator Location: Vancouver, BC Salary: 55-60k The Associate Program Coordinator coordinates, communicates, and assists the Property Team with program administration for JD Sports and associate facia. This individual will effectively exhibit JD Sports core values of Customer, People, Winning, Community, and Financial Responsibility in everything they do by performing the following key duties: Department Organization Assist with special projects and initiatives. Property: Real Estate, Design, Projects, Procurement, and Facilities: Assist in various Property initiatives, procurement efforts, and cost management tasks. Management of email requests, including tracking, surveying, and communication within the greater team for all project timelines. Assists in organizing construction progress meetings, including preparing meeting minutes, updating and distributing schedules, approval tracking, etc. Prepares the store project file system for architects and internal members to use in the drawing process. Prepare project file systems and template documents for GCs, architects, and stakeholders. Performs analysis of project plans and specifications. Coordination with Cross-Functional Teams: Collaborate with cross-functional teams to ensure all invoices are accounted for and payments are made efficiently in complete lifecycle billing. Documentation and Data Management: Document and manage data in SmartSheets, Monday, and our local drive systems to ensure accurate and up-to-date records. Cost Analysis Support: Assist in cost analysis for procurement efforts by researching and providing relevant data and information. Record Creation and Data Surveying: Responsible for creating new records and fulfilling data surveying requests as required by the Property team. Additional Duties and Projects: Undertake additional duties and projects as assigned to support departmental goals and objectives. Coordination with Cross-Functional Teams: Collaborate with cross-functional teams to ensure all invoices are accounted for and payments are made efficiently in complete lifecycle billing. Construction Coordination Partners with internal and contracted Project Managers on construction details as needed. Assists project managers in reviewing, determining conditions, and approving all GC bids received. Tracks project-specific Capital Expenditure costs in conjunction with the Project Managers and Procurement. Reviews and processes change proposals, proposal requests, supplemental instructions, and other contract documents. Assists in organizing construction progress meetings, including preparing meeting minutes, updating and distributing schedules, approval tracking, etc. Documents and processes all departmental submittals Additional duties and projects as required. Roles and responsibilities could change based on program needs. Experience and Skills: Utilizes good prioritization, organizational, and multi-tasking abilities. Proficiency in Microsoft Word, Excel, Projects, PowerPoint, Google Suite, and especially Smartsheets. Ability to read and interpret Construction Drawings and Details. Strong verbal and written communication skills, conveying information clearly and effectively. Exceptional organizational abilities, capable of maintaining order and structure in tasks and responsibilities. Previous experience in office or administrative roles, demonstrating familiarity with various administrative tasks. Practical time management skills, prioritizing tasks efficiently and consistently meeting deadlines. Required Education and/or Experience We are in search of an individual with one to two years of customer service experience and a demonstrated interest in Store Construction & Design. The ideal candidate should hold a high school diploma or GED equivalent, coupled with 1 - 2 years of related experience and/or training, or an equivalent combination of education and experience. Required Computer and/or Technical Skills Intermediate proficiency in Microsoft Word, Excel, PowerPoint, Projects, and Smartsheets Strong communication and organizational skills Previous office/administrative experience a plus
