Location:Strathcona County, Alberta, Canada Reports to:Vice President Job Summary:The Personal Assistant to the Vice President will provide high-level administrative support to ensure the smooth operation of the Vice President''''s office. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to support the Vice President in their daily activities. Additionally, the Personal Assistant will assist in sales activities, including making cold calls, reaching out to new clients, and following up with existing clients. Key Responsibilities: Manage the Vice President''''s calendar, schedule appointments, and coordinate meetings. Handle incoming and outgoing correspondence, including emails, phone calls, and mail. Prepare and edit documents, reports, and presentations. Organize and maintain files and records. Coordinate travel arrangements and itineraries. Assist in the preparation of meetings, including agenda preparation and minute-taking. Conduct research and compile data as needed. Liaise with internal and external stakeholders on behalf of the Vice President. Assist in sales activities, including making cold calls, reaching out to new clients, and following up with existing clients. Perform other administrative tasks as assigned. Qualifications: Proven experience as a personal assistant or in a similar administrative role. Excellent organizational and time-management skills. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle sensitive information with discretion and confidentiality. Strong attention to detail and problem-solving skills. Ability to work independently and as part of a team. High school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus. Preferred Qualifications: Experience in a corporate environment. Familiarity with office management systems and procedures. Strong interpersonal skills and the ability to build relationships with stakeholders. Experience in sales, including making cold calls and client outreach.
