Job Summary: Provide skilled and efficient support to one or more members of RSMs National or Regional Leadership Teams. Assist with on-going activities such as scheduling calls and meetings, coordinating complex travel arrangements, drafting communications, preparing reports, assisting with special projects, etc. This position requires a high level of professionalism, initiative, confidentiality, and a sense of urgency. Ability to anticipate needs and work independently. Key Job Responsibilities: Provide executive level support to assigned leaders including but not limited to: Serve as the point person to maintain all calendar appointments and ensure meetings are scheduled in advance and prioritized accordingly. Coordinate all travel arrangements including flights, cars, hotels and meals. Responsible for meeting management administration including handling all meeting invitations and logistics, tracking attendees, creating agendas/developing content, taking notes and following up with action items. Maintain daily, weekly, and monthly to-do lists with follow ups accordingly. Anticipate needs and independently apply a systematic approach toward achieving desired outcomes. Routinely handle confidential correspondence. Manage projects and/or events as assigned including conducting research, organizing details and following through with execution. Prepare and proofread information including correspondence, PowerPoint slides, handouts, and spreadsheets, ensuring a professional and consistent appearance. Independently compile data from a variety of resources and prepare appropriate monthly and annual reports. Serve as the go-to resource to deliver a consistent and positive experience. Act as a liaison between ESS and other ICS departments and/or others outside of the firm as appropriate Provide an expertise in firm systems, tools and industry knowledge when appropriate Collaborate with other Executive Assistants including identifying and establishing best practices Provide training to others when appropriate May serve as a Navigator Minimum requirements: Degree or equivalent experience in related field 4 years relevant experience in a related field or area Ability to interact with multiple levels of leadership Advanced Microsoft Office skills (required) Preferred requirements: Strong communication skills both written and verbal Effective organization and time management skills Strong attention to detail Ability to support and implement change Facilitate discussions with leaders Ability to manage at a macro level and identify when a refined approach is necessary
