Job Summary: A Senior Content Manager plays a critical role in the development, management, and delivery of high-quality content that supports business proposals. This position is key in overseeing the creation of documents that effectively present the companys services, solutions, and expertise to prospective clients or partners. In close collaboration with sales, business development, and operational teams, the Sr Content Manager will focus on enhancing the efficiency and accessibility of standardized, high-quality content throughout the bid response process. The role involves leading the development and maintenance of tools, templates, resources, and platforms that streamline the proposal creation process and ensure content consistency and accuracy. Key Responsibilities: Proposal Content Management Lead the development and oversight of technical and corporate proposal/sales content, ensuring alignment with company branding, messaging, and strategic goals. Collaborate with internal teams (sales, business development, operations) to gather essential information, insights, and technical details for proposals. Develop and maintain proposal templates, tools, and resources to streamline the proposal creation process and improve efficiency. Ensure all content is current, accurate, and compliant with client requirements, maintaining a high standard of quality across all documents. Implement processes that enhance the reusability of content and resources, reducing redundancy and improving proposal development timelines. Maintain a centralized content repository to ensure easy access to standardized content across business units. Monitor and track proposal progress, ensuring timely completion and adherence to quality standards. Support proposal managers by tailoring content to meet specific client needs, ensuring proposals are competitive and compelling. Create whitepapers, case studies, presentations, and technical documentation to support business development. Illustrate the technical architecture, methodologies, and functionalities of AI-driven products and platform services to streamline processes. Conduct research on industry trends, competitor solutions, and emerging AI technologies to inform proposal development. Stay current on platform and AI advancements, ensuring proposals are aligned with market demands and future technological capabilities. Document Creation and Standardization Create and standardize opportunity response documents, maintaining consistency with corporate branding and graphic design standards, including: Corporate and Regional Overviews Line-of-business specific content for each region Policies, processes, service differentiators White papers, case studies, references, bios, resumes, and job descriptions Technologies and software offerings Presentation and response templates for client proposals, presentations, and business development meetings Develop and manage a centralized document library on SharePoint to store and organize proposal assets for easy access. Internal Collaboration and Coordination Engage with internal stakeholders (Regional Leaders, Operations, Sales, etc.) to identify content needs and develop a project roadmap. Work closely with cross-functional teams, including marketing, technical, business, commercial, and legal experts, to gather the necessary information and develop high-quality proposal content. Define, create, and manage proposal content creation plans, setting clear milestones and timelines to ensure timely delivery of all proposal components. Lead strategic meetings and forums, both in-person and via MS Teams, to drive alignment, standardization, and adoption of best practices across teams. Prepare internal and external communications, including project updates, email newsletters, and surveys on proposal status. Continuous Improvement Initiatives Identify opportunities for process improvements in proposal development and management. Review proposals for consistency, quality, compliance, and graphic layout, ensuring a polished and professional final product. Participate in post-proposal debriefs with regional teams to gather feedback, identify strengths and areas for improvement, and inform future proposal strategies. Qualifications: 5+ years of experience in content management, specifically focused on technical and corporate proposals. Bachelors degree in Marketing, Communications, or a related field (or equivalent professional experience). Experience in technical trades or industries related to the field is a plus. Exceptional written communication skills, with the ability to simplify complex technical concepts for diverse audiences. Strong command of grammar, syntax, and style tailored for specific audiences (e.g., engineers, customers, or end-users). Expertise in writing, editing, and proofreading technical and business content. Proficiency with bid platforms, CRM systems, and SharePoint for document management, AI and collaboration. Experience with proposal writing, RFP/RFQ processes, project coordination, and graphic design. Strong research skills for gathering and synthesizing information from subject matter experts (SMEs) and other resources. Proficiency in graphic design tools like Adobe Illustrator, Adobe Acrobat, Adobe InDesign, Canva, OneDrive, and Visio; ability to create diagrams, charts, and infographics to enhance technical documents. Advanced knowledge of Microsoft Office applications (Word, Excel, PowerPoint). Ability to work under pressure, adjust to shifting priorities, and meet tight deadlines. Strong organizational and project management skills, with the ability to handle multiple tasks simultaneously. Excellent communication and collaboration skills, with the ability to engage with all levels of the organization.
