Job Description

On behalf of our client, a prestigious wealth management firm based in Toronto, we are looking for an experienced Operations Associate to join their team. The Operations Associate will play a key role in ensuring smooth daily operations by managing client accounts, processing transactions, reconciling records, and supporting compliance. You will collaborate with Portfolio Managers and other teams to deliver efficient, high-quality client service. Responsibilities Weekly Book Value Reconciliation: Ensure alignment between the portfolio management system and the custodian. Research and resolve discrepancies for all client security positions. Post correcting entries in the portfolio management or custodian systems, as applicable. Semi-Annual Tax Cost Reconciliation: Review and reconcile tax costs between the portfolio management system and the transfer agent for client positions in funds and limited partnerships. Investor Data Management: Maintain and reconcile investor static data for accurate tax slip production. Cash Management Monitor daily cash balance reports to identify overdrafts and coordinate with the Portfolio Management teams to resolve any issues. Address custodian communications regarding overdrafts or short cash positions, and clear discrepancies. Statement Production & Client Service Support Manage the quarterly client statement cycle and ensure deadlines are met. Key tasks: Circulate and monitor audit and inactive account reports. Maintain benchmark data and resolve statement setup issues. Assist with financial data reviews to address performance issues. Ensure timely delivery of statements and reconcile produced vs. expected. General Responsibilities Provide backup for daily importer, pricing, and reconciliation tasks. Assist with monthly fund custody reconciliations. Perform daily financial data reconciliation between Salesforce and Harmony. Support the team with special projects as needed. Skills and Qualifications Minimum 3 years of experience in reconciliation work within the wealth management industry. Completion of the Canadian Securities Course or willingness to complete it within the first year of employment. Basic knowledge of equity and fixed income markets, securities transaction flows, asset cost maintenance, and capital gains/loss reporting. Strong attention to detail with the ability to maintain thorough notes for audit trails. Exceptional organizational skills to manage shifting priorities and meet competing deadlines. Proficiency in Excel; experience with Harmony, Salesforce CRM, and the NBIN custodian platform is an asset. Benefits: Competitive salary and performance-based bonuses.
