About the Role:Fitzrovia is seeking to hire an Executive Assistant to join our team. The Executive Assistant, or EA, will provide strategic support to a group of senior leaders across different departments. The role requires the EA to support the daily operation, planning and scheduling, showcasing an ability to be proactive about the needs of the people they are supporting. The successful candidate must have a friendly demeanor, a can-do attitude, a desire to help others, and proven time-management skills.At Fitzrovia, we pride ourselves on being an entrepreneurial and innovative organization, which makes this role well suited for a candidate looking to roll up their sleeves, wear multiple hats and contribute to all aspects of real estate investment and development.Responsibilities:Management of extremely busy and active calendarsScheduling small and large scale internal and external meetingsTake a lead role in extensive site-level and corporate event planning and executionManagement of monthly expense reports and applicable corporate credit card(s) reconciliation for the assigned groupAssisting in the creation and editing of various documents (spreadsheets, memos, presentations, etc)Scanning, filing, and printing of documents, presentations, and other meeting materialsAssist with team interviewing scheduling and new hire onboarding for assigned department(s)Organizing travel, both domestic / international, providing detailed itineraries as requiredWork closely with other EAs and corporate employees to ensure timely completion of projects and tasksSit on various Fitzrovia Committees, bringing organizational expertise and a positive attitude to support our teams and cultureAssist as required in the management of the Corporate office, including maintaining office and kitchen inventory, organizing deliveries, putting away / organizing supplies, etc.Assist with period reception coverage when then Receptionist is at lunch / sick / vacationQualifications and Experiences: Minimum 3-5 years as a Senior Administrative Assistant / Executive AssistantUniversity degree and/or equivalent is preferredProficiency in Microsoft Suite, Adobe Acrobat, ZoomA strong sense of urgency and advanced organizational skills are required to complete tasks and keep the team organizedSuperior verbal and written communication skills, demonstrating the ability to draft clear and concise correspondenceExcellent interpersonal and team building skillsStrong problem-solving and independent decision-making skillsStrong attentive to detailExcellent time and priority management skillsAbility to work under pressure, in a demanding environment with tight deadlinesPolished and professional demeanor, showing a strong sense of social / cultural awareness and sensitivitySelf-motivated, curious, responsive, and results drivenHighly organized and proactiveTeam player with proven ability to build strong rapport with internal and external stakeholdersWhy Fitzrovia:Fitzrovia is a vertically integrated developer and asset manager of purpose-built rental communities across the Greater Toronto and Montreal Areas.
