As the lead activator and advocate shaping Downtown Edmonton, the Edmonton Downtown Business Association (EDBA) works on behalf of our member businesses to support and deliver a vibrant and remarkable Downtown experience, rooted in inclusion, diversity, prosperity, and resilience. The EDBA is an independent non-profit organization and is responsible for the Downtown Business Improvement Area (BIA).The EDBAs work is carried out through many avenues, such as delivering services that improve the downtown experience, advocating on behalf of Downtown Edmonton to all orders of government, creating and supporting public events across Downtown, and promoting Downtown businesses.We focus and prioritize our work based on the following strategic priorities:Serving as the leading voice and convening force in Downtown recoveryEnsuring the Downtown community is active in solutions to systemic social issuesGenerating continuous service value for membersCreating and promoting a remarkable, attractive Downtown experienceTHE POSITIONThe Administrative and Project Assistant will be responsible for providing administrative support and project & program coordination across departments for the Edmonton Downtown Business Association. This position will report to the Director, Finance & Administration and will work closely with the CEO and other members of the leadership team to ensure that our programs and projects are running smoothly and efficiently.Senior Administrative SupportProvide calendar and meeting support for the CEO and leadership team as neededProvide backup support for the Board of Directors and Committees as needed, including communication, managing board minutes and materials, and secretary dutiesOversee the administration of the EDBAs Festivals & Events GrantSupport the Director, Finance & Administration in the management of the Edmonton Downtown Gift Card program and other initiatives as requiredSupport the Director, Marketing & Communications in delivering communications to EDBA members and the public through regular newslettersSupport the marketing & communications team with website content management and social media monitoring as requiredSupport the ongoing implementation and maintenance of our member database, including data entry as requiredProject CoordinationProvide project coordination support to departments as needed, including tracking timelines and budgets, taking meeting minutes, following up on action items, and providing project updatesTake ownership of Microsoft Planner to keep projects organized and to streamline project communication and task managementBooking and supporting project meetings as requiredCommunicating with external partners and contractors as requiredPosition DetailsFull-time, permanent37.5 hours per weekSalary $51,000-$55,000, commensurate to experienceBenefits package includes extended health, dental, and RRSP matchingTHE HUMANYoure familiar with and passionate about Downtown EdmontonYou have a few years experience in an administrative or project coordination role and/or have completed post-secondary education in Business, Communications, or a related fieldYou have a working knowledge of Office 365 and youre a whiz at creating and editing documents in Microsoft Word, PowerPoint and ExcelYou have excellent professional communication skills, both verbally and in writingYoure service-oriented and comfortable working with multiple external contractors, stakeholders, and partnersYou enjoy a close-knit, small team environment with fluid, open, and honest communicationYoure able to responsively prioritize and work flexibly in a fast-paced environmentYou have a high attention to detail and take pride in double-and-triple-checking your workYou take a structured and well-documented approach to managing projectsYoure comfortable asking questions, doing research, and seeking more information when youre doing something new
