We are looking for a key talent to join our team as the Executive Assistant to the CFO of our thriving group of companies. This critical role is for someone who thrives on supporting leadership in strategic decision-making and operational excellence. You will be the trusted partner who ensures our financial leader can focus on driving growth and strategic initiatives by managing priorities, handling sensitive information, and ensuring operational efficiency. We’re looking for someone with the ambition to match ours, be ready to grow with us and take their career to the next level.KEY RESPONSIBILITIES: As the Executive Assistant you will be responsible for:Strategic Support: Partner closely with the CFO to manage schedules, prioritize tasks, and prepare for meetings, presentations, and strategic decision-making. Act as a sounding board and proactive advisor on operational and administrative matters.Confidential Administration: Handle sensitive financial documents, communications, and reports with discretion, ensuring compliance with company policies and industry confidentiality standards.Coordination Excellence: Serve as the primary liaison between the CFO and internal/external stakeholders, ensuring timely communication and follow-up on key initiatives. Facilitate smooth cross-departmental collaboration to achieve organizational goals.Documentation and Reporting: Draft, proofread, and refine correspondence, reports, presentations, and other documents. Ensure the CFO is equipped with accurate and visually compelling materials for stakeholder meetings.Event Planning: Organize internal and external meetings, board sessions, and off-site retreats, ensuring all logistical and material requirements are addressed seamlessly.Operational Efficiency: Manage complex travel arrangements, create detailed itineraries, and process expense reports with accuracy and timeliness.Process Improvement: Identify opportunities to enhance administrative processes and implement solutions to improve efficiency. Proactively anticipate the CFO’s needs to ensure smooth day-to-day operations.Crisis Management: Respond swiftly to urgent issues, exercising sound judgment and clear communication to mitigate challenges and minimize disruptions.Team Engagement: Build strong working relationships across the organization and represent the CFO’s office with professionalism and diplomacy in all interactions.QUALIFICATIONS:5+ years in an executive assistant role, with a minimum of 2 years in supporting C-suite executives in a fast-paced company, or growth-oriented environment. Experience in industries undergoing expansion or transformation is a strong asset.A diploma or degree in Business Administration, Finance, Office Administration or a related field is preferred. Equivalent experience paired with demonstrated expertise will also be considered. A personal drive to build on your education is an asset.Advanced proficiency in MS Office Suite (Excel, Word, PowerPoint, and Outlook) is essential. Familiarity with financial software, project management tools, and virtual collaboration platforms (e.g., Teams) is a bonus.Exceptional ability to manage multiple priorities, deadlines, and projects simultaneously with a meticulous eye for detail.Outstanding written and verbal communication skills to prepare clear, compelling reports and presentations while maintaining professional and respectful interactions at all levels.Proven ability to handle confidential information with the highest level of trustworthiness, discretion, and integrity is essential.A proactive mindset with strong analytical and critical-thinking skills to anticipate challenges and deliver innovative solutions.Strong interpersonal skills to build rapport with internal teams, senior leaders, and external partners, ensuring smooth collaboration across diverse groups.Comfortable working in an environment where priorities can shift quickly.
