The ideal candidate will provide crucial support to various departments, ensuring smooth daily operations. This role is essential for maintaining office efficiency and contributing to a positive work environment.Key Responsibilities:Coordinate day-to-day office activities, including scheduling meetings, managing calendars, and organizing company events.Act as the point of contact for external communication, including answering phone calls and managing emails.Act as the point of contact for technicians. Ensure accurate data entry for technicians.Coordinate the scheduling of service calls in the absence of the Service Coordinator.Coordinate the scheduling of required training for employees. Ensure certifications stay up to date.Maintain organized filing systems, both physical and digital, ensuring easy access to important documents.Assist in preparing reports, memos, and presentations as needed.Coordinate internal and external meetings, ensuring all logistics are handled efficiently.Input and update company data with accuracy.Maintain updated records of employee attendance, leaves, and other administrative tasks.Assist HR in onboarding new employees by organizing paperwork and orientation materials.Provide support in managing client relations, scheduling calls, and following up on inquiries.Qualifications:Education: Certificate or Diploma in Administrative Information Management or equivalent ORTwo years of experience in a relevant fieldSkills:Computer literacy is a must to be successful in this position.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Proficiency in Google Workspace.Strong organizational and multitasking abilities.Excellent written and verbal communication skills.Ability to handle confidential information with discretion.Attention to detail and problem-solving skills.Excellent phone etiquette and customer service skills.Location and Working Hours:This position is onsite at our Calgary office. A reliable means of transportation is required.
