The Senior Administrative Assistant will provide high-level administrative support to the Vice President, Employer Services to ensure the efficient operation of the office and the success of strategic initiatives. The successful incumbent will support the Vice President with managing schedules, coordinating communications, organizing meetings, and handling confidential information with discretion. And will be responsible for liaising with internal and external stakeholders and contributing to the overall effectiveness of the Vice President’s leadership. We are looking for someone with:Minimum five (5) years of experience providing administrative support to senior leaders within a fast-paced, changing work environmentPost-secondary diploma in a relevant field is preferredHigh proficiency in using Microsoft Office suite and SharePointExperience working in pension and/or group benefits administration would be valuableExperience using Salesforce, ServiceNow, or other Customer Relationship Management (CRM) tools is desirable; the ability to learn new software is a mustThe successful candidate will demonstrate:Professionalism and strong interpersonal skills in interacting and working with key stakeholders and strategic business relationshipsExcellent written and verbal communication skills, with strong attention to detailSuperior customer service skills, including the ability to anticipate, and proactively resolve issues is paramountThe ability to maintain confidentiality and possess a high degree of tact and discretion when handling sensitive informationAdaptability with demonstrated time management, organizational, and prioritization skills to meet multiple deadlinesOnce here you will: Support the Vice President, and the Employer Services leadership team in coordination of and preparation for internal and external meetings including materials for the Board of TrusteeOrganize various Employer Services team meetings, prepare agenda, catering, and take notesUpdate and keep current employers’ contact lists, documentation, and correspondences through various channels, such as CRM, Salesforce, SharePoint, and other applicationsMaintain client databases, support relationship management, communication, and general administrative activitiesAssist the Vice President and direct reports with project reporting, documentation, proofreading, preparing presentations, and coordination while liaising with project management stakeholdersPlanning, coordination, and preparation of management (weekly, monthly, quarterly) and board reportingManage and coordinate travel arrangements, expense reporting, coordinating sign-offs, and submissions to the Finance departmentCollaborate with administrative staff across CAAT to ensure timely completion of projects/tasksStep into CAAT - where your work is both rewarding and meaningful, growth is a constant, fun is the way we roll, and your impact is real!
