Exchange Bank of Canada is seeking an Operations Associate to join their Operations Team in Toronto, ON! Role Purpose: The main function of an Operations Associate is to provide exceptional customer support to our clients via phone/email by performing several or all of the key responsibilities listed below. Responsibilities will be assigned at the discretion of the Operations Manager. Essential Functions: Banknote Trades: Book banknote trades for customers via phone, email or in person including: Rates on all currencies Availability of currencies and denominations Communicate pickups / delivery timeframes Quote rates to customers through updated rates: Using Company Software. Verify currency / denomination availability before closing trade Contact customers, as required, and notifying them of changes pertaining to their order. Approve banknote trades / transfers and ensure tickets are given to the processing center in a timely manner Customer Service: Ensure high quality of service for all customers. Handle all trading related situations professionally that might occur. Understand each unique customer relationship (E.g., Some customers get their orders delivered by specific armored couriers.) Reset client passwords, logins and/or forwarding clients to the relevant department as per their respective needs. Edit and update customer information Monitor incoming inventory and non-inventory orders and processing such orders in timely manner. Shipping: Understand couriers used to deliver packages to specific clients and restrictions for types of couriers. Create and verify shipping labels on all orders. Contact couriers to arrange pick ups Contact couriers for shipment etas Collaborate with logistics providers to arrange and oversee shipments, ensuring compliance with customs and cross-border regulations for international orders. Inventory: Aid in the daily international cash operations, including processing banknote transactions. Support the timely and accurate settlement of international cash transactions. Assist in maintaining the daily inventory of banknotes, ensuring levels meet operational needs as defined in the SLA. Other: Adhere to all security procedures in place including ensuring that all outside doors are always locked and allow only those individuals to enter the premise who have prior appointments or are expected to come in.
