Role and Objectives: The Maintenance Planner at Kalesnikoff Mass Timber will coordinate maintenance activities across two facilities, utilizing the Epicor ERP system to manage maintenance requests, plan preventive maintenance, and process ad hoc repairs for production and facility equipment. This role focuses on optimizing machine reliability, ensuring accurate job costing, and driving continuous improvement in maintenance processes to minimize downtime and enhance equipment performance in our mass timber manufacturing and fabrication operations. Responsibilities: Equipment Management: Maintain and update equipment records in Epicor, ensuring proper hierarchy ID setup and accurate tracking. Ensure all equipment has up-to-date maintenance and repair history. Work Order & Job Management: Enter and manage maintenance job requests and work orders in Epicor, prioritizing tasks to minimize downtime and ensure equipment availability. Record labor hours and parts used for each job to ensure accurate job costing. Monitor job progress and collaborate with the Maintenance Manager to ensure tasks are completed on schedule. Preventive Maintenance (PM) Scheduling: Set up and manage preventive maintenance schedules for equipment, tools, and fixtures, based on predefined intervals, usage, or manual requests. Adjust schedules as needed to reflect equipment performance, preventing breakdowns and ensuring reliable operations. Resource Management: Coordinate the availability of maintenance personnel, tools, and resources required for each job. Optimize resource allocation to ensure efficient completion of maintenance tasks without disrupting production. Parts and Inventory Management: Track and manage spare parts inventory using Epicor, ensuring timely availability of parts for scheduled and unscheduled maintenance. Associate parts with work orders and place demand orders for parts when inventory is low, coordinating with the Procurement team to avoid delays. Machine Reliability & Continuous Improvement: Analyze equipment performance data to identify trends and areas for improvement, collaborating with the Maintenance Manager to enhance machine reliability. Participate in root cause analysis for equipment failures and recommend corrective actions to prevent recurring issues. Implement continuous improvement initiatives focused on reducing downtime, optimizing maintenance processes, and extending equipment life. Job Costing and Equipment Histories: Maintain detailed records of labor and material costs associated with each maintenance job, providing visibility into maintenance expenses. Produce comprehensive repair histories for each piece of equipment, including parts used, labor costs, and work performed, to support data-driven decision-making. Compliance & Safety: Ensure that all maintenance activities comply with safety regulations and company policies. Perform safety checks as part of routine and corrective maintenance to ensure a safe working environment. Understand and comply with all company policies and procedures. Other duties as requested or required. Requirements: High school diploma or GED required; associates or technical degree preferred. 3 years of experience in maintenance planning, ideally in a manufacturing environment. Proficiency with ERP systems (Epicor experience strongly preferred) for managing work orders, job costing, and equipment reliability. MMP certified or Maintenance Planning Specialist Certificate is an asset Strong organizational and time-management skills, with the ability to prioritize multiple tasks. Experience with Epicor ERP for maintenance management, inventory tracking, and job costing. Analytical skills to assess equipment performance data and recommend improvements. Strong communication skills for collaborating with production teams, maintenance staff, and other stakeholders. Knowledge of preventive maintenance strategies and a continuous improvement mindset.
