The purpose of the Receptionist Dental Centre Network role is to:Maximise the number of patient appointments and manage the appointment bookManage incoming phone callsProvide quality customer service to members and staffRaise accounts and receipt paymentsComply with HCF Dental Quality Management System and HCF policies and proceduresSupport the Practice Manager and Dentist in Charge in actively fostering teamwork and efficient running of the dental centreThis is a 6-month fixed term contract.KEY TASKSCustomer serviceProvide courteous, prompt and correct responses to all enquiries receivedAnswer the phone within KPI and assist at all times of the day to monitor calls in the queueManagement of the appointment bookMaximise the number of patient appointments, minimise gapsCreate, reschedule and cancel appointments as requiredPerform follow-up phone calls on patient recalls within KPIsPerform follow-up phone calls on patient cancellationsConfirm eligibility of membersProcess the daily SMS confirmations and confirm appointments by phone as requiredMonitor the appointment mailbox and respond within the KPI of 4 working hoursFront desk serviceMonitor patients and activity in the reception area, keep clean and tidyArrive patients and assist emergency patients in accordance with HCF Dental requirementsCollect medical history forms in accordance with HCF Dental requirementsRaise patient accounts, claim benefits and receipt gap paymentsMaximise the number of patients who are correctly departed (pay account, make next appointment)General office functionsActively follow-up payment of gap accounts up to 30 days and record actions in D4WAssist with refunds, credit adjustments and benefit issuesPrepare attendance certificates as requiredPrepare external mail and mail bags for collectionReceive and deliver incoming goods, including RACE laboratory itemsResponsibilities associated with early opening and late closingLiaise with other Dental Centres regarding patient files as requiredFile archiving and destructionDaily bankingBalance takings at end of day and prepare end of day reports.Archive patient records and retrieve from archive on authorised requestLiaise with DCN admin team in respect to information release and referral lettersReport any fraudulent behaviour or activityOther tasks allocated by Senior Receptionist or Practice ManagerEssential SKILLS, EXPERIENCE AND QUALIFICATIONSNeat appearance and personal presentationCompetent in appointment booking and accounts systemsAbility to maintain a high degree of confidentiality, tact and diplomacyKnowledge of Dental Centre systemsDesirableExperience as a Dental Assistant or interest to be cross trained in this areaKnowledge of D4WMicrosoft Outlook, Excel and WordQualifications in first aidAbout HCFAt HCF, our purpose is to bring our human touch to healthcare.
