Position Title: Legal Secretary/AssistantLocation: Sydney and MelbourneOur client is seeking a detail-oriented and professional Legal Secretary and/or Legal Assistant to join their vibrant team in Sydney. You will provide top-level administrative and secretarial support to lawyers in various legal fields. This is a fantastic opportunity to play a key role in a supportive team within a prestigious law firm known for its excellence.Key Responsibilities:Document Preparation and Management: Draft, format, and proofread legal documents, correspondence, and reports, ensuring all materials adhere to the firms high standards of accuracy and professionalism. This includes contracts, pleadings, briefs, and legal memoranda.Client and Court Liaison: Serve as the primary point of contact for clients, courts, and external stakeholders, managing communications with discretion and professionalism. Coordinate meetings, court dates, and appointments for lawyers and ensure that all parties are informed and prepared.Calendar and Time Management: Efficiently manage the calendars of legal practitioners, including scheduling meetings, appointments, travel arrangements, and court appearances. Ensure that all deadlines and key dates are met and that the legal team is fully prepared for all engagements.File and Document Organization: Maintain both physical and electronic filing systems, ensuring all documents are properly categorised, stored, and easily accessible. Uphold confidentiality and adhere to the firms policies regarding data protection and information security.General Administrative Support: Provide day-to-day administrative assistance, including handling phone calls, managing incoming and outgoing correspondence, and ensuring smooth operations within the office.Research Assistance: Support the legal team with legal research tasks as required, helping to prepare for cases, meetings, and hearings.Key Requirements:Demonstrated experience as a Legal Secretary or in a comparable administrative position, preferably within a law firm.Proficiency in legal procedures, language, and paperwork.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with legal practice management software (e.g., Aderant, FilePro, or similar systems). Experience with document management systems is highly desirable.Exceptional attention to detail, with the ability to manage multiple tasks and competing priorities in a fast-paced environment.
