A voluntary member organisation with branches in every state and territory, it has three main objectives:To support members by enhancing their ability to provide safe, high quality professional oral health careTo encourage the improvement of the oral and general health of the publicPromotion of the ethics, art and science of dentistryThe RoleAs the face of the organisation youll be accountable/first point of contact for reception and front desk coordination, administration and facility management.Key accountabilitiesAdministration and facility managementUndertake all administration duties in the operation of the front desk/reception areaLiaise with third parties regarding building repairs and scheduled maintenance, contract cleaners etc.Manage building accessManage office requirements including consumables, stock suppliesMaintain/administer registers for building services contacts, front desk manual, company directory, cab charges, couriersSupport implementation of WHS protocols and schedule servicing of security and safety equipment to ensure WHS complianceMonitor and manage building and compliance requirementsCoordinate staff travel as requestedUpdate member records on the CRM as requiredOnline receipt processing as requiredProvide ad hoc administration support and undertake special project work as requestedServe as a First Aid Officer and Fire Warden as requiredChampion excellence in Member/customer serviceMonitor and triage all emails received by reception email accountsManage reception information to support efficient and accurate triage of calls, emails, and other contact.Manage the collection/distribution of mail and deliveries.Maintain the front desk and meeting rooms to a gold standardGreet visitors and alert appropriate staff memberSupport staff onboarding processes as requiredOrganise meetings and provide administrative support as requiredWho we''re looking forYouve done this (or something pretty close) and pride yourself on your professional and courteous customer service skills. In addition to being systems focused youre friendly and have great organisational skills.
