Our ideal candidate will need to possess initiative, high attention to detail, and the ability to work collaboratively within our fast-paced agency.You will work directly with all business units across the business as a part of the P&C Team which is the glue that keeps the agency together and be responsible for all aspects that contribute to the smooth running of our busy Waterloo office. There will also be additional administrative duties which will include some EA assistance when required and recruitment administration support.Key responsibilities include:Be the office ambassador for Bastion, keep the office organised, clean and tidy and running efficiently, greet clients, partners and new joiners, general administrative duties and troubleshooting.Organise company events and coordinate catering when required, ensure all meeting room spaces, supplies and AV equipment are fully functional and assist with room set ups, ensure meeting rooms are kept tidy throughout the day and ready to go with tech fully charged and whiteboards clean.Manage all deliveries and coordinate all couriers, proactively develop new systems and processes to improve general office management and administrative tasks.Work with P&C to drive key staff engagement initiatives - team building, staff events, lunch and learns, guest speakers, ensure consistency across all offices including sustainability practices.Work to a monthly budget and manage office and staff supplies, ensure regular stock-takes kitchen, stationery, cleaning.Manage supplier relationships and communicate with all external suppliers and service providers including cleaners, waste management, security, monitor and assess efficiency of providers, seek best providers, negotiate supplier rates.Manage WHS in the office to ensure a safe and hygienic office at all times, communal office areas - including kitchen and eating areas.Monitor office building maintenance and coordinate repairs including office furniture, project manage relocation of teams and office refurbishments, manage garage and storage units.Coordinate security agreements and staff access, parking allocation and coordinate visitor parking where necessary.Some general administration duties supporting with some diary management, preparing report materials and some recruitment administrative support.The ideal candidate will have:Previous Office Management/ Front of House or Receptionist experience.Sound knowledge of platforms used i.e. Microsoft, Mac, Share Point and One Drive.Energetic and incredibly well organized with exceptional time management.Applies a proactive approach to getting things done, always shows initiative doesn''t wait to be told, just gets it done, a lateral thinker, with an ability to create and manage processes.Exceptional interpersonal, written and verbal communication skills, strong attention to detail, able to work in a fast-paced, dynamic environment, flexible, nimble and a love for keeping all the balls in the air.Able to work independently and as part of a team, professional and presentable, empathetic.What We OfferFlexible work in a hybrid work environment with mental wellbeing initiatives.A supportive environment focused on nurturing culture and personal growth.A truly integrated agency network that includes research, data, insights, creative, digital, experiential, reputation management, content production, performance, earned media, etc.The opportunity to lead fully integrated campaigns that expand your experience in the marketing and communications landscape.Internal and external professional training programs throughout the year.Other BenefitsBirthday Leave: a day off on your birthday.Happy Days: a day off each month where there is no public holiday.Culture Club: a calendar of events that connects our team in creative and fun ways.The Bastion Evolve mentoring program.Community & Social Responsibility leave.How do your skills match this job?Your application will include the following questions:Which of the following statements best describes your right to work in Australia?How many years'' experience do you have as an office manager?Do you have experience in administration?Do you have customer service experience?What''s your expected annual base salary? #J-18808-Ljbffr
