More About the Role at THE ICONIC Reporting to the Facilities and Workplace Manager, the Workplace Coordinator focuses on creating a memorable experience for THE ICONIC employees and visitors at our ICONIC Hub in Barangaroo. The Workplace Coordinator is also responsible for ensuring the workplace is well maintained and ready for our employees, with a focus on health and safety and basic facilities management and maintenance. Key Responsibilities include: _Workplace and Placemaking_ - Create an exceptional experience for our employees and visitors by welcoming them, registering & directing guests, and assisting promptly and professionally to internal and external enquiries - Act as a centre of knowledge, forming relationships with every part of the business and understanding the roles and nature of every department - Conduct regular workplace audits with safety, facilities, sustainability and cleanliness front of mind - Management of mail, couriers and deliveries _Administration_ - This role involves handling administrative tasks, managing office logistics and supplies, and ensuring smooth communication with employees regarding workplace notifications and initiatives - Regular stocktake and procurement of equipment and supplies including stationery, office equipment, kitchen consumables, warehouse supplies and heat management stock - Management of POs and invoicing for the Facilities, Security & Workplace team, as well as supporting Operations PO and credit card management - Calendar and meeting room management - Support onboarding and offboarding of employees through equipment delivery and collection - Management of shared inboxes related to workplace, invoicing and external queries - Data entry related to invoicing and Sustainability metrics including energy, water, solar and waste usage _Employee Engagement_ - Planning and execution of engagement activities during peak sales periods and calendar events - Managing events with regards to catering vendors and event bookings - Design and upkeep of communication and signage - Planning and execution of staff Sample Sale What it takes: - Experience in a workplace, customer service or office management role, ideally on a busy and dynamic reception desk, with exposure to Facilities and Health and Safety management. - Expereince in invoice processing and reporting - Strong communicator who has excellent stakeholder management - A confident multi-tasker and enjoy working in a fast paced, growing environment - often unsupervised and working individually. - A positive and motivated individual who is proactive and able to take on ad hoc, sometimes unexpected duties - Diligent, with excellent attention to detail.
