The role of Corporate Services Associate is a multi-faceted administrative role, front of house. Its key responsibilities are to maintain and provide a professional & friendly Reception Desk and Service for MetLifes Sydney office; undertake Facilities based administrative process functions and ensure that as a first point of contact, efficient, professional and courteous services are always in place.Front OfficeReceptionProfessionally meet and greet visitors to MetLife.Promptly advise MetLife associates of visitors arrival.Manage sign in processes for the company via Proxyclick and assist with (visitor cards) in line with Security & OHS Procedures.Creation of office security cards and locker allocation. Responsible for keeping a register of visitor passes and ensure their return.Deactivate any lost passes.Liaise with Building management for building and lift passes for staff and contractors.Manage x5 front of house meeting room calendars and respond back to staff for booking requests.Where appropriate offer to provide suitable refreshments for guests.Maintain utmost cleanliness of Reception area, including meeting rooms (tables clean, chairs straight, whiteboards clean).Provide Boardroom assistance with catering and coffee orders.Assist with mail delivery.FacilitiesProcess facilities work requests either using building management portal or third-party portals/contact numbers.Maintain stock levels for staff kitchens and stationary bays, printers.Book Loading dock times for catering, office deliveries.Report any equipment faults promptly for any of the front of house rooms.Undertake ad hoc tasks/functions as identified from time to time.Submit invoices for payment via Ariba and ensure correct GL account codes are used and processed in a timely manner.Submit invoices for payment via Purchase Order Process.Submit receipts for payment in a timely manner via Concur to reconcile Corporate Credit Card expenses.Creation of purchase orders when required.Assist with account management of vendors.Looks for ways to reduce costs for the business.OperationsAssist with preventative and urgent office maintenance and co-ordinates repair work with contractors.Maintain a good working relationship with building management and third-party vendors.Support the Facilities & Wellness Manager by participating in business improvement and cost reduction initiatives.Attend Building Management Meetings and Fire Warden sessions when scheduled.PeopleOperate in accordance with MetLife Insurance values, enabling a cohesive and positive working environment.Participate in work related team meetings and activities as required.Hours Core hours will be Monday to Friday. 08:45am to 17:00pm.Skills Competencies & Experience Required:Expert with calendar management and room bookings.Proven customer facing work experience supported by positive references.Intermediate to Advanced Microsoft Office (Word, Excel, PowerPoint) skills.Professional presentation in dress and excellent communication both verbal and written.Core AttributesCustomer Focus a passion and focus on providing service excellence, providing relevant solution that exceed our customer expectations, recognising the importance and value to the business and strives to continually improving the service experience.Collaboration & Teamwork - listen, share information and works effectively with team members to accomplish goals.Pro-active decisive and self-starting mindset, able to look ahead, innovate and continually improve.Agility and adaptable is comfortable with change, can adapt actions and thinking in order to suit different conditions or situations.Integrity possess honesty and ethical /professional standards able to be trusted to do what has been asked, or what has been promised.Ability to deal with pressure able to organise time well, so that work and tasks don''t build up and the ability to cope with the job demands.Accountability takes personal responsibility for decisions, acts, and always follows through on commitments.Problem solving & decision making can gather relevant information, prioritise and can think on their feet to make timely and informed decisions.Communication - able to express ideas clearly, effectively and with meaning (written & verbal), and to a variety of audiences.
