These roles are fast-paced with rigid timeliness and require managing the office environment and prioritising workflow. To succeed in this role, you will have great people skills, the ability to anticipate the needs of senior executives, and demonstrate flexibility, resilience, and initiative.Chief Operating Officer Executive AssistantThe Chief Operating Officer position is based in Southern Command (Melbourne) and may require travel to Canberra with the COO. You will be part of a small multi-disciplinary high performing team, led by the Executive Officer, based in Canberra. The role provides flexibility where required; however, given the nature of the work, working from home arrangements are limited. The ideal candidate will show flexibility and a calm demeanor under pressure as the role demands the ability to manage multiple priorities due to the fast-paced environment.Your tasks within this office will include but are not limited to:Monitoring and triaging the Inbox of the ExecutiveSole responsibility for managing the Executive CalendarUsing internal programs to track documentation as requiredResponsible for travel requisitions and acquittals for the officePreparation of meetings briefs and daily packsManaging and coordinating input into monthly newsletters, internal updates, and dashboardsPreparation of talking points and sitrepsAssisting with coordination of Senate Estimates briefsTracking and finalisation of strategic board papersAdditional administrative tasksDeputy Commissioner Crime Executive AssistantThe Deputy Commissioner Crime (DCC) role is based in Canberra, ACT, with the expectation that the EA role is also based in Canberra. The EA plays an integral part of a small highly functioning team, with constantly shifting priorities, working towards supporting the Deputy Commissioner. The ideal candidate will have excellent interpersonal and organisational skills, attention to detail, and the ability to remain calm under pressure.Your tasks within this office will include but are not limited to:Inbox management (Both Team inbox and that of the Deputy)Managing calendar admin and meeting invitesTracking and processing of administrative correspondence and documentationQuality assurance of paperwork and documentationProviding administrative support to the Deputy (Booking of travel and accommodation etc).Assisting with coordination of Senate Estimates briefsHigh level liaison with key internal and external stakeholdersProviding guidance and mentoring to the EAs throughout the wider portfolioDeveloping business improvement initiatives to streamline workflowTracking and finalisation of strategic Board papersMinimum Requirements:You must be an Australian Citizen at the time of application.A Negative Vetting 2 security clearance or the ability to obtain one.Contemporary knowledge and experience relevant to the role.Well-developed organisational skills, including the ability to manage competing priorities and deliver a very high standard of work.Previous experience working with high level Executives.A commonsense approach when dealing with problems, good judgement, integrity and discretion when dealing with confidential and sensitive business matters.Proficiency in the use of Microsoft Office applications including Word, Excel, Outlook and PowerPoint.Enjoys helping people and quickly develop effective relations with members of the AFP executive and their support staff.Can prioritise tasks, is flexible and maintains a calm approach while working under pressure.A professional approach and high level of confidentiality.Ability to demonstrate and promote the AFPs core values, including being a team player.NotesThese positions are AFP Band Level 5.There are two positions, one in Canberra, ACT and one in Melbourne, VIC.
