The service provides support to vulnerable young people by connecting them to school, work, vocational training, and other support services whilst assisting them to obtain long term housing.Do you multi-task like a boss? We Need YOU!Based in Victoria Park as our Administration Officer you will support the effective operation of the YASS service, where you''ll be responsible for ensuring the smooth functioning of our reception area, providing essential information and assistance to those seeking support, and managing appointments for assistance. Your role will demand a high level of judgment, initiative, and sensitivity, as you provide confidential administrative support crucial to our services success. From managing diverse administrative tasks to supporting our team in delivering contractual outcomes, your contribution will be invaluable. As the welcoming face for vulnerable young people accessing our services, you''ll be their first point of contact, handling service calls, emails, and maintaining accurate records.Your Key ResponsibilitiesProvide a welcoming and supportive experience for young people engaging with our services.Conduct a range of administration tasks including but not limited to meeting minutes taking, data entry, responding to communications from clients, SharePoint document filing, booking appointments, ordering supplies, purchasing and accounts payable, managing email inboxes, answering the telephone and ensuring voice messages are responded to in a timely manner to ensure the efficient organisation of the office.Action administrative support to the Program Manager including organising meetings, assisting with basic diary management, and administrative projects as directed.Highly professional and courteous, verbal, and written communication that is aligned with the Mission Australia Code of Conduct.Assist in the coordination of financial processes including preparation of budget information, journal entries and use of the financial system.Maintain all fleet vehicles and respond to all building maintenance issues as they arise.Requirements for SuccessWith significant experience in an administrative role in the youth and/or community service sectors and demonstrated ability to work with vulnerable people, you will be confident managing multiple competing priorities and working with young people displaying challenging and complex behaviours. Other requirements include:Relevant qualifications (e.g. Certificate in Business Administration) - highly regardedProficient in using computer packages such as Microsoft Office including Word, Excel, and Power Point.Exceptional level of customer service and experience, with excellent analytical, literacy, numeracy, and verbal communication skills.Demonstrated solutions focused thinking and problem solving.Experienced in the use of databases and online information systems and records management.High level organisational and time management skills.Person centred, trauma informed, and respectful with vulnerable young people who are accessing our services, with the ability to hold firm professional boundaries.Experience with manual handling and the ability to lift and carry up to 15 kgs regularly and the ability to safely climb two steps on a ladder to put away stock while carrying up to 4 kgs.Full driver licence with no restrictions.Before starting work with us, you will need to undertake a national police history check, qualifications, and referee checks, and have a clearance to work with children/vulnerable people.Our CultureOur innovative and inclusive culture will ensure you feel valued at Mission Australia as you help Australians in need and develop in your career.We prioritise the safety and wellbeing of everyone, both within our team and the individuals we serve.We are committed to creating a diverse and inclusive working environment.
